This is a dual-role position ideal for someone who thrives in a fast-paced office environment, enjoys working with people, and takes pride in accuracy and organization. Position Summary The Bookkeeper/Receptionist will split their time between front-office reception duties and bookkeeping responsibilities using QuickBooks. This role is essential to the smooth daily operation of the firm, requiring someone who can seamlessly move between greeting clients and managing financial records with equal care and professionalism. Key ResponsibilitiesReception Duties Greet clients, visitors, and vendors warmly and professionally, in person and by phone Answer, screen, and direct incoming calls in a courteous and efficient manner Schedule and confirm client appointments and consultations Maintain a clean, organized, and welcoming front office/reception area Manage incoming and outgoing mail, deliveries, and packages Assist attorneys and staff with administrative support as needed Bookkeeping Duties Manage day-to-day bookkeeping using QuickBooks, including accounts payable and accounts receivable Process client invoicing and track payments Reconcile bank and credit card statements on a monthly basis Track firm expenses and maintain accurate financial records Assist with payroll processing and coordination with outside accountants as needed Prepare basic financial reports for the Office Manager or Managing Partner Maintain organized, accurate, and audit-ready financial files Filing & Organization Maintain both physical and digital client and firm filing systems Ensure documents are properly labeled, filed, and easily retrievable Uphold strict confidentiality standards in handling sensitive client and financial information Support general office organization and record-keeping best practices Qualifications Minimum 2 years of hands-on experience with QuickBooks (required) Prior experience in a bookkeeping, accounting support, or office administration role Excellent interpersonal and communication skills; comfortable interacting with clients, attorneys, and staff Highly organized with strong attention to detail and accuracy Proven ability to manage filing systems (both physical and digital) Ability to multitask and prioritize in a busy office environment Professional demeanor and strong sense of discretion with confidential information Proficiency with Microsoft Office (Word, Excel, Outlook) Prior experience in a law firm or professional services environment is a plus, but not required What We Offer Competitive salary, commensurate with experience health insurance, PTO, retirement plan Stable, professional work environment Opportunity to be a valued, integral part of a small team
