Job Description

Provides accounting and administrative support for Charis Bible College, including bank deposits, payment and refund reconciliation, student account maintenance, transaction batching, audits, deposits, and financial recordkeeping. The role also processes event payments, manages incoming mail, handles calls and emails, supports the Bursar team, resolves account discrepancies, and performs general office duties. AI Position Purpose:
The Charis Accounting Assistant performs a variety of accounting support tasks for
Charis Bible College:
prepares daily bank deposits, reconciles Security receipts and refunds, processes tuition and other student payments, communicates with the Bursar Team concerning tuition and housing balances, reconciles and distributes batches. The Accounting Assistant will assist with daily, weekly, and monthly tasks. This position is 40 hours per week and requires daytime availability, Monday through Friday.
Essential Duties:
Daily Bank Deposit - Pull settlement reports from multiple online payment gateways; reconcile batches and reports with cash, checks, and CC receipts to prepare bank deposits; update student ledger accounts as necessary; and update the information to complete monthly sales tax reports. Reconcile tuition and other student payments. Verify and distribute batches. Reconcile refunds and secure bag tracking. Create and maintain student accounts in the AWM system. Batch and reconcile auto-pay transactions. Maintain student records related to their financial account, including ministry employment status. Process, track, and maintain records for discounts. Process internal transfers of funds and check requests. Open, process, and distribute all incoming mail. Receive and log money from AWM for every event/conference. Receive phone calls and respond to emails, etc. Assist with payments and deposits during events. Conduct audits and resolve discrepancies on student accounts in both Charis and AWM systems. Provide backup to the Office of the Bursar team to assist with student payments. Audit backup banks. Complete general office duties, including responding to staff inquiries. Count all monies, process change orders, and assist in verifying accounting documents. Other duties as assigned.
Qualifications Knowledge, Skills, and Abilities:
Strong customer service skills and phone etiquette. Effective written and verbal communication skills. Excellent analytical, problem-solving, and decision-making skills. Strong accuracy, attention to detail, and the ability to meet deadlines. Excellent organizational and time management skills. Excellent math and 10-Key skills. Ability to learn and confidently use multiple software programs and platforms, including SharePoint and Monday.com. Can comprehensively operate a Windows-based computer and all associated Microsoft Office programs (Word, Excel, Outlook, and PowerPoint). Able to maintain a high level of professionalism and discretion in dealing with sensitive and confidential information.
Requirements:
Must have a personal relationship with Jesus Christ. Must sign the Statement of Faith. A high school diploma or equivalent education is required. An Associate Accounting degree or at least 2 years of accounting experience is preferred. A Charis Bible College graduate is preferred. Must pass all required checks.
Experience:
2 years of office experience demonstrating administrative skills. Experience using Microsoft programs, including Outlook, Word, and Excel. Compensation is commensurate with experience.
