About the Role We are seeking a detail-oriented, bilingual Administrative & Finance Clerk to support the day-to-day operations of our U.S. office. This role combines general office administration with basic finance and cashiering responsibilities. It is well-suited for a candidate who is organized, reliable, and comfortable managing a variety of tasks independently in a small team environment. This is not an accounting role — we are looking for someone who can handle front-line financial transactions and administrative support with professionalism and accuracy. Key Responsibilities Section 1: Office Administration- Manage day-to-day office operations including supply procurement, incoming and outgoing correspondence, document filing, and general office upkeep
- Serve as the primary point of contact for incoming calls, emails, and office visitors; ensure professional and timely communication
- Draft, proofread, and organize internal documents, reports, meeting minutes, and administrative materials
- Coordinate meeting schedules, appointments, and travel arrangements for the leadership team
- Maintain a well-organized document management system for company files, contracts, and records; ensure proper categorization and tracking
- Assist with new employee onboarding paperwork and record setup
- Maintain employee files and HR-related administrative records
- Handle all company-related confidential documents and information with strict discretion Section 2: Finance & Cashiering
- Process daily cash receipts and disbursements; maintain accurate and up-to-date transaction records
- Handle vendor invoices, arrange timely payments, and follow up on outstanding payables
- Collect and process employee expense reimbursement claims; verify receipts for accuracy and policy compliance
- Manage petty cash fund; conduct regular counts and replenishments to ensure fund balance is accurate
- Organize and file financial documents, receipts, and supporting vouchers; provide basic documentation support to the external accountant as needed
- Assist with basic bank account reconciliation
- Perform other basic finance support tasks as directed by management Qualifications & Requirements
- Bachelor's degree in Business Administration, Accounting, Finance, or a related field
- Fluency in both English and Mandarin Chinese (written and spoken) is required
- Must be legally authorized to work in the United States
- 1+ years of experience in an administrative, clerical, or cashiering role is preferred
- Proficiency in Microsoft Office (Word, Excel, Outlook); experience with accounting software such as QuickBooks is a plus
- Strong attention to detail with good numerical accuracy and document management skills
- Self-motivated and dependable; able to manage daily responsibilities independently with minimal supervision
- Strong written and verbal communication skills in both English and Chinese
- High level of discretion when handling sensitive financial and personnel information
