Position Summary Fiscal Administrator & Bookkeeper is responsible for the accurate, timely, and compliant execution of all accounts payable and accounts receivable activities. This role supports financial integrity, cash-flow management, operational efficiency, and compliance with internal controls and accounting standards. The position requires sound judgment, attention to detail, confidentiality, and the ability to manage multiple priorities independently. Key Responsibilities Accounts Payable (A/P) Review, verify, and approve vendor invoices for accuracy, completeness, and proper authorization by matching them to purchase orders and receiving documentation, confirming work provided or delivered. Enter, code, and maintain invoice data in the accounting system in a timely manner. Reconcile accounts payable records to identify and resolve discrepancies, duplicates, or missing transactions. Schedule, prepare, and process weekly and monthly vendor payments (checks, ACH, wire transfers) in accordance with company policy and vendor terms. Investigate and resolve invoice issues, including pricing discrepancies, credits, stop payments, vendor disputes and contract compliance. Maintain up-to-date vendor master files, including W-9 documentation and payment details. Respond to vendor inquiries and maintain professional relationships to support uninterrupted service. Prepare accounts payable journal entries, accruals, and reconciliations to support month-end and year-end close processes. P-card purchases and reconciliations Accounts Receivable (A/R) Generate and distribute customer invoices accurately and in accordance with contractual billing terms and timelines. Apply customer payments (checks, ACH, credit card payments) to the correct accounts in the accounting system. Monitor customer accounts for overdue balances and initiate timely collection efforts following company procedures. Communicate with customers regarding delinquent accounts, short-payments, credit memos, or billing disputes. Reconcile accounts receivable sub-ledgers to the general ledger on a monthly basis. Prepare and maintain aging reports, collection status reports, and related schedules for management review. Support cash-flow forecasting by providing accurate receivables data and analysis. General Accounting & Finance Operations Maintain accurate and well-organized accounting records in compliance with internal controls, company policies, and auditing requirements. Assist in month-end, quarter-end, and year-end close activities, including reconciliations and support documentation. Prepare supporting schedules and documentation for internal and external audits as requested. Monitor compliance with financial procedures and recommend process improvements to enhance efficiency and accuracy. Assist with system implementations, upgrades, and testing related to finance operations. Support cross-functional teams by providing financial data and insights as needed. Work with cross-functional teams and Vendors. Maintain confidentiality of financial, employee, and company information at all times. Perform additional accounting or administrative duties as assigned to support business needs. Skills & Qualifications Solid understanding of accounting principles, U.S. GAAP, and applicable regulatory requirements. Strong proficiency in Microsoft Excel and Microsoft Office applications. Experience with ERP systems and accounts payable/accounts receivable automation platforms. High attention to detail, accuracy, and strong organizational skills. Ability to manage deadlines, prioritize tasks, and work independently with minimal supervision. Strong written and verbal communication skills. Demonstrated professionalism and integrity. Education & Experience Associate's or Bachelor's degree in Accounting, Finance, Business, or a related field required. Masters degree in Accounting, Finance, Business

preferred Prior experience in accounts payable and/or accounts receivable functions preferred. Professional certifications such as APM, PMP, or similar are a plus.
