Director of Operations Position Overview Equipt is seeking a detail-oriented, dependable, and trustworthy Bookkeeping, Accounts Payable & Payroll Assistant to support Equipt's day-to-day financial and payroll needs and those of our ministry partners. At Equipt, financial administration is about more than processing transactions and payroll. Our team comes alongside churches, missionaries, and ministry leaders to help them steward resources well, care for their teams, understand healthy financial processes, and build strong administrative foundations that support their ministries long term. This role supports bookkeeping, accounts payable, payroll, benefits administration, partner billing, and related financial processes. The position helps ensure financial transactions are properly documented and recorded, bills are processed accurately, payroll is completed on schedule, and ministry partners receive practical support as they navigate established financial and payroll processes. Because this position involves sensitive financial, employee, and compensation information, the ideal candidate will demonstrate a high level of accuracy, confidentiality, discretion, and dependability, while also enjoying serving people, solving problems, and helping others learn and succeed. Qualifications Required Qualifications Active, committed Christian who demonstrates a growing relationship with Jesus Christ, a love for others, and a lifestyle consistent with biblical Christian faith and values Heart for serving and equipping churches, missionaries, and ministry leaders Strong attention to detail, accuracy, organization, and follow-through Ability to manage multiple priorities, recurring deadlines, and time-sensitive processes Comfort working with financial, payroll, and confidential employee information Strong written and verbal communication skills Ability to work independently while collaborating effectively within a team High level of integrity, confidentiality, and discretion Previous experience in bookkeeping, accounts payable, payroll, accounting, or related financial administration Preferred Experience Experience with QuickBooks Online or similar accounting software Experience with payroll processing systems Familiarity with employee benefits, retirement plans, or payroll-related administration Experience with expense management or financial technology platforms Familiarity with nonprofit, church, or ministry financial operations
Key Responsibilities:
Bookkeeping & Financial Administration Perform assigned bookkeeping in QuickBooks Online for Equipt and ministry partners Assist with bank, credit card, and other account reconciliations Assist with transaction coding according to established procedures Support month-end financial processes and maintain accurate financial documentation Assist with routine financial reporting and record preparation Identify missing information or discrepancies and coordinate resolution Accounts Payable, Vendor & Expense Administration Process bills, invoices, reimbursements, and payment requests Verify required approvals and supporting documentation Establish and maintain vendor records, W-9s, and required documentation Support annual 1099 preparation Monitor missing receipts and expense documentation and follow up on incomplete transactions Support routine Ramp administration, transactions, receipts, and documentation Assist with vendor updates and routine correspondence Payroll Administration Process regularly scheduled payroll for Equipt and assigned ministry partners Review timesheets and payroll information for completeness and accuracy Process approved new hires, terminations, compensation changes, deductions, reimbursements, and other payroll updates Maintain payroll schedules, records, and supporting documentation Identify missing information or discrepancies and coordinate resolution before payroll deadlines Assist with year-end payroll processes and reporting as assigned Benefits & Related Administration Assist with HRA funding and administration as assigned Assist with retirement contribution processing Support benefit billing, allocations, and related documentation Coordinate routine payroll and benefit vendor communication Billing & Financial Support Assist with partner invoicing, payments, and routine accounts receivable follow-up Respond to routine bookkeeping, payment, payroll, and financial-process questions Help ministry partners understand established financial processes, documentation requirements, responsibilities, and deadlines Provide patient, practical support that helps partners develop healthy financial and payroll practices Audit, Financial Review & ECFA Support Gather and organize requested financial, payroll, and supporting documentation Assist with audit, financial review, and ECFA preparation Track and follow up on missing financial and payroll records as assigned Key Competencies Accuracy and attention to detail Confidentiality and discretion Ownership and dependability Organization and follow-through Problem-solving and sound judgment Partner-focused service Ability to educate and equip others Collaboration and teamwork Adaptability and initiative Work Structure Full-time position, Monday-Friday during standard business hours, with scheduling structured around payroll deadlines and financial processing requirements Works closely with the Director of Operations, with regular collaboration across Operations, Finance, Compliance, and Launch Responsible for carrying out established financial and payroll processes while escalating exceptions, discrepancies, or matters requiring financial judgment
Pay:
From $20.00 per hour Expected hours: 25.0 - 40.0 per week
