Job Description

Job Overview:
Chaminade-Madonna College Preparatory is seeking a detail-oriented, organized, and service-focused Accounts Payable/ State of Florida Scholarship Accounts Coordinator to join our Finance team. This position is responsible for the administration, processing, reconciliation, and compliance requirements associated with State of Florida Family Empowerment Scholarship programs, while also supporting the school's accounts payable and other Finance Office functions. The ideal candidate will have strong accounting and organizational skills, excellent communication abilities, and a commitment to providing outstanding service to families, vendors, and members of the school community.
Key Responsibilities:
Maintain, reconcile, and process funds associated with State of Florida Family Empowerment Scholarship programs. Ensure compliance with applicable scholarship program requirements and procedures. Communicate with parents regarding scholarship funding, documentation, and processing requirements. Complete month-end reconciliation activities related to scholarship receivables. Assist with annual scholarship-related audit preparation. Support financial aid processing and communication with student families. Review invoices for proper documentation and approval prior to payment. Process accounts payable invoices and payments accurately and timely. Review vendor statements and resolve discrepancies or payment issues. Maintain vendor W-9 records and assist with annual Form 1099 reporting. Assist with bank deposits, cash receipts, credit card transactions, and petty cash. Support monthly accounts payable and purchase order reconciliations. Maintain and monitor the school's purchase order system. Assist with annual audit preparation and other Finance Office projects. Maintain accurate financial records and appropriate confidentiality. Collaborate with departments across the school to ensure accurate financial reporting and documentation. Perform other related duties as assigned.
Qualifications & Requirements:
Associate degree or higher in Accounting or a related field preferred. Minimum of two years of related accounting or finance experience preferred. Working knowledge of accounts payable, accounts receivable, journal entries, and reconciliation practices. Strong organizational skills with the ability to manage multiple priorities and meet deadlines. Excellent professional written and verbal communication skills. Strong attention to detail and accuracy. Ability to maintain strict confidentiality. Proficiency with spreadsheets, databases, and accounting systems. Bilingual English/Spanish skills preferred. Ability to support the mission and values of Chaminade-Madonna College Preparatory.
