Job Description We are looking for an Accounts Payable Analyst to join a non-profit organization in Naples, Florida on a contract basis, with potential for contract-to-permanent. This role supports daily accounting operations by handling payables, procurement coordination, expense activity, and coding with a high level of accuracy. The position also works closely with leadership and cross-functional teams to help maintain compliance, strengthen internal controls, and support timely month-end, audit, and reporting activities.
Responsibilities: Manage the full accounts payable cycle by reviewing invoices, assigning proper coding, and issuing payments within established deadlines. Process employee reimbursements and reconcile corporate credit card activity to ensure expenses are complete, accurate, and supported by appropriate documentation. Create and maintain vendor profiles, including tax forms, insurance records, and payment details, while safeguarding organized and current files. Contribute to monthly and annual close tasks by preparing account reconciliations, recording receipts, and assisting with accounts receivable and cash posting activities. Support audit readiness by compiling financial documentation and maintaining records that align with organizational policies, grant requirements, and regulatory standards. Maintain procurement documentation, contracts, and supporting records for compliance purposes, and assist with registration filings related to state solicitation requirements. Hands-on experience in accounts payable, including invoice processing, account coding, and payment administration. Proficiency in reconciling credit card transactions, employee expense reports, and reimbursement activity. Working knowledge of procurement support, vendor management, and purchase order documentation. Familiarity with Blackbaud applications and the ability to support related financial processing and reconciliation tasks. Understanding of internal controls, financial record retention, and compliance expectations within a regulated or grant-funded environment. Strong attention to detail with the ability to manage multiple deadlines and maintain accuracy in a fast-paced setting. Effective communication skills and the ability to collaborate with accounting, operations, and program stakeholders. Prior experience in a non-profit organization and Blackbaud is preferred.
