Overview We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team! This vital role combines essential bookkeeping responsibilities with administrative support to ensure smooth daily operations. The ideal candidate will bring enthusiasm, organizational prowess, and technical proficiency to manage financial records, coordinate office activities, and deliver exceptional customer service. Duties Maintain accurate financial records using QuickBooks, including invoicing, expense tracking, and bank reconciliations Manage multi-line phone systems to handle incoming calls professionally and efficiently Provide front desk support by greeting visitors, answering inquiries, and directing clients or vendors appropriately Perform data entry tasks with high accuracy, including updating spreadsheets and maintaining filing systems Assist with calendar management and scheduling appointments for team members or clients Support office management tasks such as ordering supplies, organizing files, and coordinating meetings Deliver exceptional customer service through clear communication via phone, email, and in person while practicing proper phone etiquette Proofread documents for accuracy and clarity, ensuring professional presentation of all correspondence Utilize Microsoft Office Suite (Word, Excel) to create reports, documents, and presentations as needed Support personal assistant duties such as managing emails, preparing reports, and handling confidential information with discretion Qualifications Proven experience in office administration or clerical roles with strong organizational skills Proficiency in QuickBooks accounting software and Microsoft Office productivity tools Excellent computer literacy including data entry, word processing, spreadsheets, and technical proficiency with office equipment Strong typing skills with attention to detail for proofreading and document accuracy Effective communication skills in both English and bilingual capabilities (if applicable) to assist diverse clients and team members Experience managing multi-line phone systems and providing outstanding customer support Familiarity with office management practices such as filing systems, calendar coordination, and time management techniques Previous experience as a personal assistant or in front desk roles is a plus Demonstrated ability to prioritize tasks efficiently while maintaining professionalism under pressure Join us in a role where your organizational talents and technical skills will make a meaningful impact! Pay:
