Job Description

Overview Join our dynamic finance team as a QuickBooks Online (QBO) - Accounting Clerk and play a vital role in maintaining accurate financial records and supporting our accounting operations. The QBO Accounting Clerk supports the day-to-day accounting activities of the property management company, with primary responsibility for accurate transaction processing, account reconciliations, record maintenance, and routine accounting support. Reporting to the Accounting Administrator, this position is primarily transactional and support-oriented and helps ensure that financial information is timely, accurate, and well organized. Primary Responsibilities Process vendor invoices and code expenses to the appropriate property and general ledger account. Prepare vendor payments and maintain complete supporting documentation, including W-9 information. Record tenant payments, deposits, fees, and other receipts accurately and timely. Assist with monitoring accounts receivable and researching tenant account discrepancies. Reconcile bank and credit card accounts and promptly identify unresolved differences. Maintain accurate QuickBooks Online records, including routine transaction entry and account coding. Assist with journal entries and other general ledger activity as directed by the Accounting Administrator. Allocate shared or property-specific expenses accurately among properties. Maintain organized electronic accounting records, invoices, contracts, and supporting documentation. Respond to routine accounting questions from vendors, tenants, and internal staff, escalating issues when appropriate. Month-End & Reporting Support Complete assigned bank, credit card, and balance sheet reconciliations. Review outstanding receivables and unpaid vendor invoices for completeness and accuracy. Assist the Accounting Administrator with month-end closing procedures and supporting schedules. Support preparation of property-level financial reports, owner reports, and other recurring accounting reports. Assist with annual 1099 preparation, audits, tax support, and other year-end accounting requirements. Qualifications 2+ years of bookkeeping, accounting clerk, or similar accounting experience preferred. Working proficiency with QuickBooks Online (QBO); QBO Advanced experience is a plus. Proficiency with Microsoft Excel and general Microsoft Office software. Property management accounting experience strongly preferred. Experience with property management software such as Buildium, AppFolio, Propertyware, Rent Manager, or similar is a plus. Understanding of security deposits, tenant accounting, and multi-property accounting is preferred. Key Skills & Attributes High degree of accuracy and attention to detail. Performance Expectations Accurate and timely processing of accounting transactions. Bank and credit card reconciliations completed on schedule with minimal unresolved items. Well-organized and complete supporting documentation. Timely completion of assigned month-end responsibilities. Accurate property, tenant, vendor, and general ledger records. Responsive support to the Accounting Administrator and property management team. Software QuickBooks Online Microsoft Office (Word, Powerpoint, Excel) Adobe Acrobat Property management software Familiar with Scanning Software Familiar with Cloud Based storage platforms like Dropbox or Google Drive.
