We are seeking an organized and detail-oriented Accounts Payable Coordinator to join our accounting team and support the day-to-day processing and administration of accounts payable. Position Summary The Accounts Payable Coordinator will be responsible for accurately processing vendor invoices, maintaining vendor accounts, coordinating payment approvals, and ensuring transactions are properly recorded in the accounting/ERP system. This position will work closely with the Controller, accounting team, purchasing, warehouse, and vendors to resolve discrepancies and maintain accurate financial records. The ideal candidate is highly organized, dependable, detail-oriented, and comfortable working in a fast-paced wholesale distribution environment with a high volume of invoices and transactions. Key Responsibilities Process and accurately enter vendor invoices into the company's ERP/accounting system. Match invoices to purchase orders, receiving documentation, and supporting records when applicable. (3-way match) Verify invoice pricing, quantities, terms, freight, discounts, and other charges. Code invoices to the appropriate general ledger accounts and departments. Process invoices related to inventory purchases, freight, customs/duties, utilities, rent, professional services, and general operating expenses. Maintain accurate vendor records and resolve invoice discrepancies with vendors and internal departments. Prepare accounts payable payment batches and supporting documentation for approval. Monitor vendor statements and reconcile vendor accounts on a regular basis. Respond to vendor inquiries regarding invoices, payments, account balances, and discrepancies. Maintain organized electronic and physical AP documentation. Assist with month-end closing activities, including AP reconciliations and accruals. Assist with 1099 vendor reporting and related documentation. Review AP aging and identify invoices requiring follow-up. Work with purchasing and warehouse personnel to resolve receiving and invoice discrepancies. Assist with audit requests and provide supporting documentation as needed. Ensure AP transactions are processed accurately and in accordance with company policies and procedures. Perform other accounting and administrative duties as assigned by the Controller. Daily Cash Receipts posting of customer mail in checks Preparation of purchase orders for Warehouse supplies Reconciliation and inventory of Amex promo gift card program Qualifications 2+ years of accounts payable or related accounting experience. Strong understanding of basic accounting principles. Experience with an ERP or accounting system; SAP experience is a plus. Experience in wholesale distribution, inventory, importing, or manufacturing is preferred. Strong Excel skills and general computer proficiency. Excellent attention to detail and accuracy. Strong organizational and time-management skills. Ability to prioritize multiple tasks and meet deadlines. Strong written and verbal communication skills. Ability to work independently while also collaborating effectively with the accounting and operations teams. High level of confidentiality and professionalism.
