JOB DESCRIPTION ACCOUNTING ASSISTANT
Position Purpose To maintain accurate, complete and timely accounting records across the company's supplier, customer, payroll, cash and fixed-asset cycles. The Assistant is accountable for resolving exceptions, maintaining documentary support and producing reliable schedules for Finance Lead review; the role is not expected to duplicate system checks manually when an approved automation has already performed them. Responsibilities Accounts Payable and Payments Receive, verify, code and enter supplier invoices, ensuring that each bill is supported by the required purchase order, goods receipt or service confirmation. Maintain accurate supplier accounts and resolve missing invoices, credit notes, disputed balances and unmatched purchasing documents. Review AP ageing and supplier statements to identify upcoming obligations, overdue items and potential unrecorded liabilities. Prepare the scheduled Wednesday and Friday payment packages with complete supporting documentation. Record all payments in QuickBooks, attaching bank confirmation, updating the supplier account and issuing remittance advice. Accounts Receivable and Collections Maintain complete and accurate customer accounts, including invoices, receipts, credit notes, approved credit terms and supporting documentation. Prepare and issue customer invoices promptly and allocate receipts to the correct customer accounts and invoices. Issue monthly statements to all customers with account activity or outstanding balances. Review the AR ageing regularly and follow up overdue balances by telephone, email or other approved means. Maintain a current collections log showing customer contact, disputes, promises to pay and agreed next actions. Investigate unallocated, unidentified, short-paid, duplicated and disputed receipts and reconcile the AR subledger to the general ledger monthly. Escalate materially overdue balances, unresolved disputes and repeated broken payment commitments to the Finance Lead. Payroll and Statutory Support Collect approved attendance, overtime, transport, leave, deductions, advances and employee-change information by the applicable payroll cutoffs. Compile weekly and monthly payroll information for entry into the relevant accounting system. Prepare PAYE, Health Surcharge and NIS schedules and support the Annual PAYE Summary and TD4 process. Prepare VAT transaction schedules and other assigned tax-supporting information for Finance Lead review. Petty Cash, Fleet and Control Accounts Record and reconcile petty-cash, fleet and company-card transactions, ensuring that all expenditure is accurately coded and properly supported. Allocate fleet expenditure to the appropriate vehicle or account where applicable and follow up missing invoices, receipts or approvals. Investigate shortages, unexplained differences, unsupported expenses and unusual activity and escalate unresolved matters. Review automated deposit and merchant-settlement exception reports and resolve unmatched, delayed, duplicated, reversed or unidentified items without manually repeating successful automated checks. Month-End, Records and Fixed Assets Complete all assigned month-end reconciliations and supporting schedules within the established close timetable. Ensure AP, AR, petty cash, fleet, credit-card, merchant-clearing, payroll-control and other assigned balances agree to the general ledger. Prepare the payment, withdrawal, transfer, bank-charge and other supporting schedules required for the Finance Lead's bank reconciliation. Maintain complete, accurate and readily retrievable accounting records with appropriate documentation attached to each transaction. Identify fixed-asset purchases, initiate the supporting asset record and assist with asset verification and record maintenance. Support accruals, unrecorded-liability reviews, audit requests and supplier or customer balance confirmations. Key Performance Indicators Measure Expected Standard Accounting record quality Transactions are accurately coded, completely supported and readily retrievable. No unsupported entries, unexplained balances or missing documentation remain without documented follow-up and escalation. Month-end completion All assigned reconciliations and schedules—including AP, AR, petty cash, fleet accounts, credit cards, merchant clearing, payroll controls and fixed assets—are completed by the 2nd business day. Related queries and corrections are resolved by the 4th business day. Accounts receivable management Monthly statements are issued to all customers with activity or outstanding balances. The AR ageing agrees to the general ledger, and no overdue balance remains without a current documented status, follow-up action and escalation where required. Collections follow-up Overdue accounts are reviewed and followed up at least weekly. Calls, emails, disputes, promises to pay and next actions are recorded in the collections log, and broken commitments or materially overdue balances are escalated promptly. Petty-cash and fleet-account maintenance Petty-cash and fleet transactions are recorded promptly, fully supported and reconciled within the required weekly and monthly deadlines. Missing support, shortages and unexplained differences are followed up and escalated. Accounts payable and payment readiness Complete supplier bills are entered within one business day of receiving the required support. Payment packages are complete by the applicable cutoff and contain no duplicate, unsupported or unauthorized items. Qualifications and Competencies Certificate, diploma or degree-level training in Accounting, Finance, Business or a related field;
ACCA/CAT
progression is an asset. At least two years of bookkeeping, AP, AR, payroll, reconciliation or similar high-volume accounting experience. Working knowledge of QuickBooks and intermediate Excel; ability to work accurately across multiple branch datasets. Ability to interpret POs, goods receipts, VAT invoices, supplier/customer statements, bank and merchant reports, payroll inputs and ACH processes. Strong numerical accuracy, investigative ability, document control, confidentiality, communication and deadline ownership. Compensation and benefits Monthly salary range: TT$7,000 to TT$9,000, commensurate with the successful candidate's experience, qualifications and demonstrated ability to perform the full scope of the role.
