Job Summary We are seeking an energetic and detail-oriented Accounts Payable Clerk / Maintenance Call Dispatcher to join our dynamic team. The Accounts Payable Clerk / Maintenance Call Dispatcher is responsible for processing accounts payable transactions while coordinating maintenance requests and dispatching service technicians for a vacation property management company. This position requires strong organizational skills, attention to detail, excellent customer service, and the ability to manage multiple priorities in a fast-paced environment while ensuring a positive experience for our guests and homeowners. This is a full-time, in-office position. The regular schedule is Sunday through Thursday . Key Responsibilities Accounts Payable Receive, review, and process vendor invoices accurately and in a timely manner. Match invoices with work orders and supporting documentation. Maintain vendor records and resolve invoice discrepancies. Prepare daily check runs and electronic payments. Reconcile vendor statements and research outstanding balances. Assist with month-end closing by organizing and maintaining accounts payable records. Maintain accurate financial files and documentation. Respond to vendor inquiries professionally and promptly. Maintenance Dispatch Receive maintenance requests from guests, homeowners, and property managers via phone, email, and work order systems. Prioritize maintenance requests based on urgency and company guidelines. Dispatch in-house maintenance technicians and outside vendors to service calls. Schedule appointments and coordinate technician calendars. Monitor work orders from initial request through completion to ensure timely resolution. Communicate with guests, homeowners, vendors, and management regarding the status of maintenance requests. Follow up to ensure repairs are completed satisfactorily and documented. Maintain accurate records of maintenance requests, work orders, and completed repairs. Coordinate emergency maintenance requests, including after-hours communication when necessary. Administrative Duties Answer incoming phone calls and provide exceptional customer service. Maintain organized digital and paper filing systems. Prepare reports and assist management with administrative tasks. Order office supplies as needed. Support other departments with clerical and administrative duties. Qualifications High school diploma or equivalent required; Associate degree in Accounting, Business, or a related field preferred. Minimum of two years of experience in accounts payable, bookkeeping, dispatching, or administrative support. Proficiency in Microsoft Office, including Excel, Word, Outlook, and QuickBooks. Experience with Streamline and Breezeway property management software preferred. Strong organizational and time management skills with the ability to multitask. Excellent verbal and written communication skills. Strong attention to detail and accuracy. Ability to work independently and collaboratively in a team environment. Ability to remain calm, professional, and solution-oriented while handling urgent maintenance situations. Preferred Skills Experience in vacation rental or property management. Knowledge of maintenance operations and vendor coordination. Experience dispatching service technicians or contractors. Strong customer service and problem-solving skills. Ability to build positive relationships with guests, homeowners, and vendors. Physical Requirements Ability to sit for extended periods while working at a computer. Occasionally lift up to 20 pounds. Ability to use standard office equipment, including phones, computers, and printers. Work Schedule Full-time, in-office position. Sunday through Thursday. Occasional overtime may be required based on business needs. Must be available to assist with urgent maintenance situations during peak seasons, holidays, and other high-demand periods as business needs require.
