A Bookkeeper keeps records of accounts and manages day to day financial recordkeeping. Works for a business or provides bookkeeping services for several smaller organizations or individuals. May be supervised by an accountant. Provides information for financial statements and tax reports completed by an accountant.
Minimum five years Position Summary The Bookkeeper is responsible for maintaining accurate financial records for a small Club using QuickBooks Online and the Club's point-of-sale system. This position manages accounts receivable, accounts payable, payroll records, reconciliations, tax filings, and monthly financial reporting. The Bookkeeper works closely with the Treasurer, Board of Directors, accounting firm, payroll provider, and Club management. This is a part-time, in-office position. Primary Responsibilities Maintain accurate financial records using QuickBooks Online. Manage and reconcile financial data generated by the Club's point-of-sale system. Process accounts receivable, accounts payable, invoices, deposits, and payments. Reconcile bank accounts, credit card statements, and merchant processing activity. Complete the monthly financial close and provide timely financial statements to the Board. Prepare balance sheets, profit-and-loss statements, budget reports, and receivable and payable reports. Maintain payroll records, generate checks, and coordinate with Paychex. Prepare or coordinate required filings, including payroll taxes, sales tax, property tax, tangible property tax, income tax returns, W-2s, 1099s, and other county or state reports. Coordinate financial documentation for audits and insurance renewals. Track and assist with renewing beverage, restaurant, and other required licenses. Assist the Treasurer with annual budgeting, expense tracking, and special projects. Maintain organized and confidential digital and paper records. Work with the Treasurer, Board, accounting firm, vendors, and government agencies as needed. Requirements Minimum of five years of bookkeeping or accounting experience. Advanced proficiency with QuickBooks Online. Experience completing monthly financial closings and preparing financial statements. Knowledge of Generally Accepted Accounting Principles (GAAP). Experience with accounts receivable, accounts payable, payroll, reconciliations, and tax reporting. Strong attention to detail and excellent organizational and time-management skills. Ability to work independently, prioritize responsibilities, and meet deadlines. Ability to maintain strict confidentiality. Proficiency with Microsoft Word, Excel, and PowerPoint. Strong communication and problem-solving skills. Preferred Experience Experience with Paychex. Experience with restaurant or private-club point-of-sale systems. Previous experience with a yacht club, private club, restaurant, marina, hospitality business, or small organization. Familiarity with Florida tax filings, licensing, insurance audits, and submerged land lease reporting. Schedule This is a part-time, in-office position. Additional hours may occasionally be required for month-end and year-end closings, budgeting, tax filings, audits, and license renewals.
