We are seeking an experienced, tech-savvy Bookkeeper to take full ownership of bookkeeping across all of our entities and give ownership and management clear, dependable visibility into the financial performance of every property and entity.
POSITION SUMMARY
We are seeking a dependable, detail-oriented Full Charge Bookkeeper to manage all day-to-day bookkeeping, financial recordkeeping, and back-office accounting across our multiple entities — including the family office, commercial real estate portfolio, residential rentals, retail buildings, and office buildings. Microsoft Dynamics experience is required. Please do not apply if you do not have Microsoft Dynamics experience. KEY RESPONSIBILITIES MULTI-ENTITY FINANCIAL RECORDKEEPING & RECONCILIATION
- Maintain accurate, up-to-date books in Microsoft Dynamics across all entities: the family office, commercial real estate portfolio, residential rentals, retail buildings, and office buildings — general ledger coding, transaction entry, intercompany entries, and account reconciliations
- Perform month-end close support for every entity: reconciliations, accruals, adjusting entries, and review of balance-sheet accounts
- Reconcile bank accounts, credit cards, and other balance-sheet accounts on a timely basis for each entity
ACCOUNTS PAYABLE & ACCOUNTS RECEIVABLE
- Process and code vendor invoices, expense receipts, reimbursements, and recurring operating expenses
- Maintain AP records; prepare payment schedules and manage vendor relationships and payment tracking
Manage AR:
tenant invoicing, rent rolls, collections tracking, and late-fee administration
- Coordinate with property managers, vendors, and ownership on billing questions and payment status
PROPERTY-LEVEL FINANCIAL SUPPORT
- Track and administer property tax obligations: monitoring assessments, preparing payments, and ensuring no deadlines are missed
- Support lease administration: rent schedules, escalations, CAM reconciliations for retail and office properties
- Track insurance premiums, escrow balances, and capital expenditures by property
- Assist with 1099 preparation and annual tax-package assembly for the company's CPA/tax advisor
SALES TAX & INSURANCE ADMINISTRATION
- Administer sales tax compliance across all entities, including Florida sales tax on commercial, retail, and office lease revenue: collection, remittance, timely filing, and recordkeeping
- Track insurance coverage across every entity and property: policy terms, premiums, and renewal dates — ensuring payments are made on time and coverage never lapses
- Collect and maintain certificates of insurance from tenants, vendors, and contractors; flag expirations and coverage gaps
REPORTING & ANALYSIS
- Generate weekly financial reports for ownership and management:
- Profit & Loss statements by entity and by property
- Balance sheets
- Cash summaries
- Accounts-payable and accounts-receivable aging
- Rent-roll and collections summaries
- Budget-vs.-actual reporting (as requested)
- Identify discrepancies, unusual trends, missing documentation, or internal-control concerns and communicate them promptly to management
PROCESS IMPROVEMENT & COMPLIANCE
- Maintain organized digital and physical records for invoices, receipts, vendor statements, tax filings, and supporting documentation across all entities
- Take ownership of the accounting function: establish and maintain efficient accounting procedures, approval workflows, document-retention practices, and internal controls suited to a multi-entity real estate operation
- Proactively learn the skills and systems necessary to be successful as the portfolio and reporting needs evolve
REQUIRED QUALIFICATIONS EXPERIENCE & EXPERTISE
Hands-on experience with Microsoft Dynamics is required. Please do not apply if you do not have Microsoft Dynamics experience.
- Minimum 5 years of bookkeeping or accounting experience
- Demonstrated multi-entity bookkeeping experience — managing separate books across multiple companies/entities
- Real estate bookkeeping experience: property-level accounting, tenant invoicing, rent rolls, collections, and property tax administration
- Sales tax compliance experience, including Florida sales tax on commercial lease revenue (collection, filing, and remittance)
- Insurance administration experience: tracking policies, premiums, and renewals; maintaining certificates of insurance
- Proven experience with AP, AR, bank/credit-card reconciliations, general-ledger maintenance, invoicing, and month-end close support
TECHNICAL SKILLS
- A tech-savvy candidate is required: proficient in Microsoft Excel — sorting, filtering, formulas, pivot tables, and financial-report preparation
- Comfortable learning new software, tools, and systems quickly and independently

- Ability to work independently while communicating clearly with ownership, property managers, vendors, and outside accountants
- Comfortable managing competing priorities and reporting deadlines across multiple entities
PREFERRED QUALIFICATIONS
- Associate's or Bachelor's degree in Accounting, Finance, Business, or related field
- Commercial real estate accounting background: CAM reconciliations, lease escalations, tenant ledgers
- Experience coordinating with payroll providers on payroll journals and liabilities
- Property tax appeal or 1099 preparation experience
