Job Description

Position Overview This position is responsible for setting up and maintaining client accounts. Setting up projects and sales orders, and progress billing clients from the sales orders using various billing methods as required by the client and/or project. Corresponding with clients regarding AR and payments.
Primary Job Functions Billing:
Create and maintain client & customer accounts in our accounting system. Add projects to our accounting system and set up Sales Orders. Work with Project Managers regarding project progress and billing.
Prepare billing forms:
retail end-user line-item, AIA, progress invoices, professional service, web-based billing platforms, etc... Apply the applicable sales tax. Provide our clients required billing documentation: lien release, sworn statement, COI's, etc...
Receivables:
Call clients to confirm receipt of invoices and obtain estimated payment dates. Send client statements monthly. Monitor lien periods to ensure lien rights are maintained.
Required Knowledge:
Multi-state sales tax. Real property vs TPP. Lien rights and requirements! Including monitoring and filing lien documentation in multiple states.
Multiple billing types:
line-item box sales, AIA billing including support documentation, progress billing, professional service time and expense billing. Experience with MS office, MS 365, Google documents, QuickBooks and Wasp.
Required Abilities:
Ability to read contracts and decipher billing requirements and obligations. Adhere to all Accounts Receivable and Accounting SOP's. Able to multi-task. Assist in covering other departmental positions as needed. Must be able to interact with all types of individuals and personalities.

Analytical and operational skills; analyze complex issues and identify sensible solutions. Detail oriented. Strong organizational and time management skills. Strict adherence to confidentiality.
