Job Purpose The Receptionist / Accounts Receivable Specialist provides a welcoming and professional first point of contact for clients, vendors, and visitors while supporting the finance team with timely and accurate processing of accounts receivable activities. This dual-role position ensures smooth office operations, strengthens customer relationships, and maintains financial accuracy for the organization. Job Summary This blended role combines front-desk administrative duties with essential accounts receivable responsibilities. The individual will manage incoming calls, greet visitors, handle general inquiries, and support office functions, while also performing billing, payment posting, collections, and account reconciliation tasks. The role requires strong organizational, communication, and problem-solving skills to balance administrative and financial responsibilities effectively.
Essential Duties and Responsibilities Receptionist Responsibilities:
Serve as the first point of contact for clients, visitors, and callers, ensuring professional and courteous interactions. Answer, screen, and route phone calls and messages appropriately. Manage incoming and outgoing mail, deliveries, and office supplies. Maintain a clean, organized, and welcoming reception area. Provide administrative support to staff as needed. Accounts Receivable Responsibilities Generate and distribute customer invoices accurately and on schedule. Record customer payments and apply them to appropriate accounts. Monitor accounts receivable aging reports and follow up on past due balances. Communicate with customers regarding billing inquiries, discrepancies, and payment arrangements. Reconcile customer accounts and resolve payment discrepancies. Prepare regular reports on receivables status for management. Required Skills and Experience Excellent verbal and written communication skills with a professional phone demeanor. Strong organizational skills and ability to manage multiple tasks simultaneously. Proficiency with accounting software and Microsoft Office Suite (Excel, Word, Outlook). Knowledge of accounts receivable processes and basic accounting principles. Ability to handle sensitive information with confidentiality. Customer-service mindset with problem-solving and conflict resolution abilities. Prior experience in both administrative/reception and accounts receivable roles preferred. Required Education High school diploma or equivalent required. Associate's degree in business administration, accounting, or a related field preferred. 1-2 years of administrative, receptionist, or front desk experience preferred. Work Environment Office-based role with a balance of front-desk interaction and financial tasks. Frequent use of computer, telephone, and office equipment. May occasionally require extended hours during peak billing or reporting cycles. Professional, team-oriented environment with regular contact with internal staff, clients, and vendors. Business Casual dress, except if on a particular project such as market installations Hours 8:00am-5:00pm Monday-Friday. Minor lifting, stairs, and walking. Physical Requirements
  • Ability to see well enough to read standard text with or without corrective lenses.
  • Ability to hear, with or without hearing support devices, well enough to converse on the telephone.
  • Ability to speak well enough to converse verbally with others, especially on the telephone.
  • Sufficient manual dexterity to write and operate office machines.
  • Ability to stand, climb stairs, drive, and perform minor lifting, up to 20 lbs.
