Position Summary The Parish Bookkeeper supports and promotes the Pastor's initiatives and decisions regarding the mission and operation of the Parish and School. This role assists the Pastor and Operations Director with oversight of the financial resources of the Parish and School in accordance with Archdiocesan policies and guidelines. The position reports to the Operations Director. Key Responsibilities Manage bookkeeping functions for the Parish and School, including bank reconciliations. Process and post accounts payable and accounts receivable transactions; ensure invoices and staff reimbursements are paid accurately and on time. Prepare and post bank deposits and electronic deposits from e-giving and tuition platforms to QuickBooks. Assist with weekly collection counts; post wire transfers, ACH transactions, and credit card activity. Gather monthly Procurement Card expense reports and receipts from cardholders and post activity to QuickBooks. Assist with bi-weekly UKG timecard approvals in preparation for payroll sign-off; serve as backup Payroll Administrator as needed. Post payroll journal entries and assist with salary, benefit, deduction, garnishment, and other payroll functions. Submit payroll registers to the Pastor and/or Operations Director/Business Manager for review and approval before payroll submission. Use the payroll system to oversee tracking of paid and unpaid leave in accordance with Archdiocesan policies and procedures. Prepare monthly financial reports as requested and monitor budget-to-actual results, providing timely alerts regarding expense budget overruns. Assist with monthly, quarterly, and annual journal entries. Help ensure appropriate internal controls are in place and followed, using Archdiocesan best practices. Assist with preparation of materials for Finance Council meetings and with management of egiving sites. Maintain organized and timely files and purge records in accordance with Archives and Records guidelines. Perform other responsibilities as assigned. Qualifications & Requirements Associate degree in Business or a related discipline (such as Accounting or Finance) preferred; or at least five years of related Parish or business experience; or an equivalent combination of education and experience. Demonstrated understanding, respect, and support of Catholic Church teaching, mission, and values. Basic knowledge of accounting practices and regulations, as well as applicable federal, state, and city laws. Strong demonstrated knowledge of QuickBooks, Microsoft Office, and payroll services. Excellent organizational and time-management skills. Strong verbal and written communication, organizational, and interpersonal skills. Ability to work effectively in a team environment with a service mindset. Ability to identify issues and propose practical recommendations and solutions. Ability to handle highly confidential information with discretion. Strong drive to achieve results. Compensation & Benefits $65,000 - $70,000 annualized salary range. An employee's pay within the salary range will be based on factors including, but not limited to, relevant education, qualifications, experience, skills, geographic location, and organizational needs.
