Accounts Receivable & AIA Billing Specialist Position Summary We are seeking a highly organized and detail-oriented Accounts Receivable & AIA Billing Specialist to join our team. This position is responsible for managing accounts receivable, preparing and submitting AIA progress billings, reviewing construction contracts for billing requirements, obtaining and tracking Certificates of Insurance (COIs), and supporting the overall financial administration of construction projects. The ideal candidate has experience in construction accounting, excellent communication skills, and the ability to manage multiple projects while meeting strict deadlines. Key Responsibilities Prepare, review, and submit AIA progress billings and supporting documentation. Generate customer invoices and ensure timely, accurate billing. Review construction contracts to identify billing requirements, payment terms, retainage, insurance requirements, and other contractual obligations. Obtain, review, and track Certificates of Insurance (COIs) from subcontractors, vendors, and customers as required. Monitor accounts receivable aging and proactively follow up on outstanding invoices. Apply customer payments and reconcile customer accounts. Process change orders and ensure they are accurately reflected in project billings. Prepare lien waivers, sworn statements, and other project documentation as required. Coordinate with project managers to verify billing milestones, contract values, and project status. Maintain accurate project billing files and customer records. Resolve customer billing discrepancies and respond to payment inquiries. Prepare monthly accounts receivable and cash collection reports. Assist with month-end closing activities and account reconciliations. Support continuous improvement of billing and collections processes. Perform other accounting and administrative duties as assigned. Qualifications 3+ years of Accounts Receivable and/or construction billing experience. Experience with AIA billing and construction accounting required. Ability to read and interpret construction contracts. Experience obtaining and managing Certificates of Insurance (COIs). Working knowledge of retainage, change orders, lien waivers, and payment applications. Proficiency in Microsoft Excel and accounting software. Strong organizational, analytical, and problem-solving skills. Excellent verbal and written communication skills. Ability to prioritize multiple deadlines in a fast-paced environment. Preferred Qualifications Experience working for a construction contractor or industrial service company. Familiarity with customer billing portals and compliance documentation. Knowledge of project accounting and contract administration.
