This role is central to keeping client work moving. You will manage the full accounting cycle for each client, from day-to-day transactions through month-end close, while maintaining strict confidentiality. This position reports directly to the Chief Operating Officer with a dotted line to the company Founder.
Key Responsibilities:
Own day-to-day bookkeeping for multiple small business clients in QuickBooks Online. Reconcile bank, credit card, and loan accounts every month. Close the books each month, including accruals, adjusting entries, and balance sheet review. Manage accounts payable and accounts receivable. Process payroll and record payroll entries. Prepare 1099s and support sales tax filings. Prepare monthly financial statements (balance sheet and profit and loss). Deliver clean, year-end books to our tax team on schedule. Keep financial records accurate and confidential. Communicate effectively with vendors, clients, and internal staff to meet filing and reporting deadlines. Opportunties for domestic travel to visit with clients in person. Tools You Will Use QuickBooks Online (required experience). Cloud‑based document storage and client portals. Email, calendar, and task‑tracking tools.
Required Qualifications:
2+ years of full-charge bookkeeping experience, including month-end close and account reconciliations. Solid understanding of double-entry, accrual-basis accounting. Strong verbal and written communication skills. High level of organization and attention to detail. Ability to manage multiple tasks and deadlines independently. Comfortable following up with clients and keeping work on track. Helpful, but not required: Experience in tax, accounting, or professional services. QuickBooks ProAdvisor certification. Bilingual in English and Spanish. Familiarity with business entity formation. Experience working in a small firm or fast‑moving environment.
Work Style and Schedule:
Primarily in‑office role in Chicago. Occasional travel (less than 10%) to visit clients in different states. We put a high value on customer service and speaking directly with clients. These visits give clients the chance to meet the person behind their books, and give you the chance to get to know their businesses. Standard business hours, with heavier workloads during tax seasons. You will have autonomy in your work and direct access to leadership. We trust our team to manage their responsibilities without micromanagement.
