Job Summary We are seeking a meticulous and organized Accounts Payable Clerk to join our finance team. In this role, you will be responsible for managing the company's accounts payable functions, ensuring accurate processing of vendor invoices, timely payments, and maintaining precise financial records. The ideal candidate will possess strong accounting software proficiency, attention to detail, and a solid understanding of financial concepts and compliance standards. This position plays a vital role in supporting the organization's financial integrity and operational efficiency. Duties Review, verify, and process vendor invoices using various accounting systems. Enter data accurately into accounting software such as QuickBooks, Paychex, or ADP while maintaining confidentiality of sensitive information. Reconcile accounts payable ledger and perform account analysis to ensure accuracy and resolve discrepancies promptly. Prepare and issue payments via checks, ACH transfers, or wire transfers in accordance with company policies. Assist with month-end closing activities including balance sheet reconciliation and general ledger entries related to accounts payable. Maintain organized vendor files and respond professionally to inquiries regarding payment status or account details. Support compliance with internal controls and external regulations such as SOX by adhering to established procedures. Collaborate with procurement, finance, and other departments to improve processes related to accounts payable workflows. Perform routine bookkeeping tasks including data entry, 10-key typing, and double-entry bookkeeping. Contribute to audits by providing necessary documentation and ensuring accuracy of financial records. Skills Proven experience in accounts payable functions within corporate or governmental accounting environments. Proficiency with financial software such as Workday, QuickBooks, Sage, Xero, PeopleSoft, Ceridian, Kronos, UltiPro, or similar systems. Strong understanding of GAAP (Generally Accepted Accounting Principles), SOX compliance standards, and technical accounting practices. Familiarity with payroll systems like ADP or Ceridian is advantageous. Excellent numeracy skills coupled with the ability to perform detailed account analysis and reconcile accounts accurately. Advanced skills in Microsoft Office applications with a focus on Excel data analysis and spreadsheets. Knowledge of accounts receivable management alongside accounts payable functions enhances overall financial acumen. Ability to handle confidential information discreetly while maintaining high levels of accuracy in data entry and bookkeeping tasks. Strong organizational skills with the capacity to prioritize tasks efficiently in a fast-paced environment. Effective communication skills for interacting with vendors, internal teams, and auditors.
