Job Summary We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team! ensuring accurate data entry and timely processing of invoices and payments Maintain organized filing systems for financial documents, contracts, and correspondence Answer multi-line phone systems promptly and professionally, directing calls efficiently and providing excellent customer support Assist with office management duties such as ordering supplies, maintaining office equipment, and overseeing front desk operations Support calendar management and scheduling for team meetings, appointments, and client engagements Prepare spreadsheets, reports, and correspondence using Microsoft Office tools like Word and Excel Handle data entry tasks with precision, including updating client information and maintaining database records Reconciliations Accounts Payable / receivables Job Costing reporting maintaining Accurate Financial records. Qualifications Proven clerical experience with strong office management skills in a fast-paced environment Proficiency in QuickBooks accounting software and Microsoft Office productivity software (Word, Excel) Excellent organizational skills with the ability to prioritize tasks effectively Strong computer literacy, including data entry, file management, and document proofreading Exceptional phone etiquette with experience managing multi-line phone systems and client communication Bilingual abilities are a plus to assist diverse client needs Previous experience as a personal assistant or in administrative support roles is highly desirable Ability to multitask efficiently while maintaining attention to detail and accuracy in all work Join us to be part of a vibrant team where your organizational talents and technical proficiency will make a real impact!
