Accounts Payable Administrative Assistant Beacon Mechanical Services, LLC Full-time, in office About the role Beacon Mechanical Services is looking for an Accounts Payable Administrative Assistant to support our accounting and office operations. This person keeps vendor bills, statements and payment records accurate and current while handling the day to day administrative work that keeps the office running. It is a hands on role with steady volume and a close working relationship with the Office Manager and field staff. What you will do Enter, code and process vendor invoices and purchase orders with accurate job and account assignment Reconcile monthly vendor statements to open payables and resolve discrepancies directly with vendors Prepare check runs, ACH batches and payment schedules for approval Maintain vendor records including W-9s, certificates of insurance and lien waivers Research and respond to vendor and internal inquiries about billing and payment status Track job costs and material receipts against invoices and purchase orders Maintain organized digital and paper filing for all payables documentation Provide general administrative support including phones, correspondence, scheduling and supply ordering What we are looking for Five years of accounts payable experience including full cycle invoice processing and vendor statement reconciliation Five years of administrative or office support experience in a professional setting Five years working in Microsoft Office with strong Excel skills and comfort in Outlook and Word Experience with accounting software such as QuickBooks Strong attention to detail and accuracy with numbers Ability to organize competing priorities and meet recurring deadlines Clear and professional communication with vendors, field crews and management High school diploma or equivalent, associate degree in accounting or business preferred What we offer Competitive pay based on experience, paid time off, health benefits and a stable team environment where your work is visible and valued. Pay:
$27.50 - $65,767.09 per hour Expected hours: 40.0 - 45.0 per week
