Job Description

Job Summary We are seeking a proactive and detail-oriented Bookkeeper/Administrative Assistant to join our dynamic team. This role combines essential bookkeeping responsibilities with administrative support to ensure smooth office operations. The ideal candidate will be energetic, highly organized, and possess excellent communication skills, including bilingual abilities if applicable. You will manage financial records, handle front desk duties, and provide exceptional customer service, all while maintaining a positive and efficient office environment. Responsibilities Manage daily bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and bank reconciliations Serve as the front desk receptionist, greeting visitors and clients with professionalism and warmth Operate multi-line phone systems, directing calls accurately and courteously while practicing excellent phone etiquette Maintain organized filing systems for financial documents, client records, and office supplies Support office management by coordinating calendar appointments, scheduling meetings, and managing correspondence via Google Workspace and Microsoft Office tools Perform data entry with precision to ensure accurate record keeping across all administrative functions Provide customer support by addressing inquiries promptly and professionally in person or over the phone Requirements Proven experience in office management or administrative roles with clerical experience preferred Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills Experience with QuickBooks or similar accounting software is highly desirable for bookkeeping duties Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment Bilingual abilities are a plus to serve diverse client needs effectively Demonstrated customer service skills combined with professional phone etiquette and time management capabilities Previous experience as a dental or medical receptionist or personal assistant is advantageous but not required Ability to proofread documents carefully and maintain high accuracy in all tasks Join us to be part of a vibrant team dedicated to delivering exceptional service while supporting our office's financial health and daily operations.
