Job Description
Job Summary We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team. This vital role combines financial record-keeping with administrative support, ensuring smooth office operations and accurate bookkeeping. The ideal candidate will be proactive, highly organized, and possess excellent communication skills to support our business functions effectively. Responsibilities Manage day-to-day bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and bank reconciliations Manage Payroll weekly File taxes weekly Make bank deposits regularly File quarterly reports File sales and use report monthly Maintain accurate financial records and prepare reports for management review Handle multi-line phone systems, directing calls professionally and courteously Provide front desk support by greeting visitors, managing appointments, and answering inquiries Assist with office management duties such as supply ordering, filing, and document organization Enter data accurately into spreadsheets and other productivity software to support administrative functions Support customer service efforts by responding to client questions via phone or email with professionalism and clarity Requirements Proven experience with QuickBooks or similar accounting software Strong proficiency in Microsoft Office Suite, especially Word and Excel spreadsheets Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment Bilingual abilities are highly desirable to assist diverse client needs Previous office management or administrative experience required Exceptional data entry skills with high accuracy and attention to detail Strong phone etiquette and customer service skills for front desk responsibilities Demonstrated computer literacy and technical proficiency in office productivity tools Ability to manage time effectively, prioritize tasks, and meet deadlines Personal assistant or clerical experience is a plus for supporting team members as needed Must have a clean criminal record and prior experience
