Job Description

Office Coordinator/Accounts Payable Specialist (Full - Time)
Description:
Cote Crane & Rigging - Maine's largest crane services company and industry leader is growing! We are looking to hire new employees with a strong work-ethic, knowledge of the industry and a commitment to excellence. We have a current job opening for an Office Coordinator/Accounts Payable Specialist operating out of our Auburn, ME office.
Primary Responsibilities:
  • Provide administrative and clerical support including data entry, filing, and maintenance of customer and vendor records
  • Process AP, vendor invoices, checks, deposits, and banking activity daily
  • Provide exceptional customer service by addressing inquiries promptly and professionally
  • Perform daily inventory management responsibilities in areas related to tally-in/tally-out data entry
  • Manage the full accounts payable cycle, including high-volume invoice data entry
  • Communicate with vendors regarding invoices and payment discrepancies
  • Support month-end statement verification and closing activities, including warehouse inventory billing
  • Handle incoming and outgoing calls for other office staff and route employee and customer inquiries to the proper personnel
  • Correspond with customers on project specific information and detailed logistics
  • Assist with sales tax and other filings by gathering data and maintaining schedules (as applicable)
  • Maintain documents as it relates to company fleet (i.
e. registrations, insurance, permits)
Job Requirements:
  • 5+ years of progressive experience in the administrative and office management field
  • Strong computer skills including proficiency with Microsoft Office Suite & accounting software
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced setting
  • Strong data-entry accuracy; ability to produce error-free correspondence and reports
  • Clear written and verbal communication skills; customer-service mindset with vendors and internal teams
  • Confidence in troubleshooting basic tech issues and improving processes, not just maintaining them
  • Ability to work independently and as a supportive member of a team
