Job Description

We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team. This role combines essential bookkeeping responsibilities with administrative support duties, ensuring smooth office operations and accurate financial record-keeping. The ideal candidate will be energetic, highly organized, and possess excellent communication skills to support our office environment and financial processes. Responsibilities Manage day-to-day bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and bank reconciliations Handle front desk duties, greeting visitors and clients with professionalism and warmth Operate multi-line phone systems, directing calls efficiently and providing exceptional customer service Maintain accurate data entry, filing, and recordkeeping for financial documents and administrative files Support office management by organizing schedules, managing calendars, and coordinating appointments Assist with clerical tasks such as proofreading documents, preparing correspondence, and managing email communications Provide customer support through phone etiquette, email responses, and in-person interactions Utilize Microsoft Office Suite and Google Workspace for document creation, spreadsheets Perform general office management duties including filing systems, and maintaining a clean workspace Support personal assistant tasks such as calendar management and appointment scheduling for team members Qualifications Proven office experience with strong organizational skills and attention to detail Demonstrated proficiency in QuickBooks for bookkeeping tasks Excellent computer literacy with experience in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools Prior clerical experience including data entry, filing, proofreading, and document management Strong customer service skills with professional phone etiquette and multi-line phone system operation Bilingual abilities are highly desirable to serve diverse client needs effectively Experience with office management or administrative support roles preferred Knowledge of medical or dental receptionist duties is a plus but not required Personal assistant or calendar management experience is beneficial Ability to multitask efficiently while maintaining accuracy in a fast-paced environment Join us to be part of a vibrant team dedicated to excellence in both administrative support and financial accuracy.
