Job Description
Job Summary We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team! In this multifaceted role, you will be responsible for managing financial records, performing data entry, and providing exceptional administrative support to ensure smooth daily operations. Your energetic approach and organizational skills will help keep our office running efficiently while delivering outstanding customer service. Duties Manage and maintain accurate financial records using QuickBooks and other productivity software Perform data entry tasks with precision, including invoicing, billing, and expense tracking Handle multi-line phone systems with professionalism, providing excellent customer support and client communication Assist with office management tasks such as filing, organizing documents, and maintaining office supplies Support front desk operations by greeting visitors, answering inquiries, and managing appointment scheduling and calendar management Utilize Microsoft Office applications, including Word and Excel spreadsheets, for reporting and documentation purposes Conduct proofreading of documents to ensure accuracy and clarity before distribution Coordinate with team members on project timelines, deadlines, and task prioritization to optimize productivity Maintain confidentiality of sensitive information while ensuring compliance with office procedures Experience Proven clerical experience or office experience demonstrating strong organizational skills and attention to detail Prior bookkeeping experience using QuickBooks or similar accounting software is highly preferred Bilingual abilities are a plus to effectively communicate with diverse clients and team members Familiarity with multi-line phone systems, front desk operations, and customer service best practices Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for document creation, data management, and communication Experience in medical or dental receptionist roles or personal assistant positions is advantageous but not required Strong computer literacy including data entry, typing speed, proofreading skills, and technical proficiency in productivity software Excellent time management skills with the ability to prioritize tasks efficiently in a fast-paced environment Join us to be part of a vibrant team where your skills will make a meaningful impact!
