Job Description

Bookkeeper / Administrative Assistant We are seeking an organized Bookkeeper / Administrative Assistant to support our commercial electrical contracting business. This role handles daily bookkeeping, customer and vendor billing, and general office administration. The right candidate is comfortable working in QuickBooks Desktop, pays close attention to detail, and can keep several jobs and deadlines organized at once. Responsibilities Enter and maintain transactions in QuickBooks Desktop, including invoices, bills, payments, and expenses. Reconcile bank and credit card accounts and help maintain accurate financial records. Prepare customer invoices and assist with contractor billing requirements, including supporting documents and billing portals. Track vendor invoices, follow up on missing information, and maintain organized job records. Prepare and update Excel spreadsheets and run reports, including Profit & Loss reports. Answer phones, greet visitors, and communicate professionally with customers, vendors, and project staff. Maintain electronic and paper files, prepare Word documents, and assist with scheduling and other office tasks. Qualifications Experience with bookkeeping, including invoicing and account reconciliations. Experience using QuickBooks Desktop strongly preferred. Proficiency in Microsoft Excel, Word, and general office software. Strong organizational skills, accuracy, and the ability to follow through on deadlines. Clear written and verbal communication skills. Experience with construction billing, job costing, or contractor billing portals is a plus. Bilingual English/Spanish is a plus.
Pay:
$20.00 - $25.00 per hour Expected hours: 40.0 per week
