GENERAL OVERVIEW
The PT Receptionist / AR Assistant is Qualicoat's "Director of First Impressions". It is this individual's primary responsibility to receive and direct all phone calls and greet visitors while completing other office duties as assigned. The Receptionist / Office Assistant must maintain an awareness of current employees, their positions and availability. It is also the responsibility of this individual to be aware of company information that would be of interest to customers and vendors as well as to be mindful and protective of internal information that needs to remain only within our own company.
OBJECTIVES
Receive and direct phone calls and walk-ins with professionalism, interact in a warm pleasant manner resulting in customers, vendors, potential employees and visitors who want to come back to Qualicoat. Conduct oneself with integrity and trustworthiness in every aspect of the position. Maintain and organize Company records to the utmost standards. Along with all front office personnel, the Front Office is maintained as an attractive, fully functioning work environment that showcases our competencies to present and prospective customers. Provides members of the Qualicoat team with information necessary for their job functions.
ACCOUNTABILITY
Perform all job functions in a timely, accurate fashion. Uphold the corporate vision by establishing and maintaining relationships based on mutual cooperation, trust, and exchange of ideas. Maintain the integrity of the office, office systems, information/data. Work cooperatively and respectfully with fellow team members. Provide customers/vendors/visitors with accurate and timely information. This is accomplished through individual conduct, managing and cultivating the effective communication skills needed as well as adherence to company policies and procedures.
ADDITIONAL RESPONSIBILITIES
Record Keeping Full Cycle AR, inclusive of processing customer invoices, receiving payment, collection calls, investigating discrepancies and customer issues Assist the AP Administrative Assistant with electronic filing of paperwork. Other Duties as assigned Maintain files in the office in an orderly manner in accordance with policy and procedures. Assist other departments as needed with filing and organization of records. Maintain ITAR and Visitor records in accordance with procedures. Maintenance of Office & Vending Equipment Report any malfunctions of office equipment to the AP/AR Office Assistant. Monitor phone service and equipment, reporting any malfunctions or issues immediately to the AP/AR Office Assistant. Assist with inventory and requisition office supplies. Initiate service phone calls as directed. Submit meter reads for copiers. Mail May assist with the processing and distribution of incoming and outgoing mail and faxes in accordance with the procedure. Other Complete special projects, typing or entering data as requested. This will include but is not limited to inspection tickets, acceptance tags & QC approved labels. Assist with set up of conference room and lobby, breakroom and packing room monitors for customer, vendor or team meetings as well as company announcements as directed. Assist with the setting up of employee celebrations (i.e. monthly birthday parties, holiday parties, etc.). Assist in maintaining lobby, break room, supply closet, plants and any other designated areas. May run some errands as requested. Perform other functions as deemed necessary for success of the department and Qualicoat.
