Bayside Tax & Wealth is a growing tax, accounting and financial advisory firm seeking an experienced Client Accounting Specialist to manage the day-to-day bookkeeping and accounting for a portfolio of small business, self-employed and startup clients. This is not simply a transaction-entry bookkeeping position. We are looking for someone who understands the financial statements they are producing, notices when something doesn't look right, asks questions, and takes ownership of keeping client books accurate and current. Our financial statements are used throughout the year for tax planning, business advisory and client meetings. Accurate and timely books are therefore an important part of the service we provide our clients. Responsibilities Manage bookkeeping for a portfolio of business and self-employed clients Maintain books primarily using QuickBooks Online, as well as Xero, QuickBooks Desktop, Drake Accounting and other accounting platforms Categorize and review bank and credit card transactions Perform monthly bank and credit card reconciliations Review and maintain general ledger accounts Prepare and review accurate Profit & Loss and Balance Sheet reports Maintain bookkeeping and P&Ls for sole proprietors and other self-employed clients Record and reconcile payroll and payroll-related transactions Work with Patriot Payroll and other payroll platforms Prepare and file periodic sales tax returns and reconcile sales tax liabilities Maintain accounts receivable and accounts payable where applicable Record and reconcile loans, fixed assets, owner/shareholder transactions, distributions and contributions Prepare adjusting journal entries when appropriate Maintain supporting schedules and workpapers Identify unusual transactions, discrepancies, missing information and potential accounting issues Proactively follow up with clients and our internal team for information needed to complete the books Keep client books current and ready for scheduled tax-planning, business advisory and client meetings Prepare organized year-end books and supporting schedules for our tax team Communicate accounting questions and outstanding items clearly to our accounting and tax team Escalate accounting issues requiring additional technical review rather than allowing unresolved items to carry forward As our client base expands, this position will also work with startup and growing businesses that may have multi-year customer contracts, accrual accounting, deferred revenue and other more complex transactions. You do not need to be an expert in every accounting issue or every software platform. We do expect you to have a strong accounting foundation, recognize when something requires additional review, and be comfortable learning new systems and accounting concepts. Qualifications Strong hands-on QuickBooks Online experience Experience managing bookkeeping for multiple businesses or clients Solid understanding of accounting and bookkeeping principles Ability to prepare and review Profit & Loss and Balance Sheet reports Strong bank and credit card reconciliation skills Understanding of cash and accrual accounting concepts Experience with different business structures, including S corporations, partnerships, LLCs and sole proprietorships Ability to recognize bookkeeping and accounting issues rather than simply categorize transactions Strong attention to detail and organizational skills Ability to manage multiple clients and recurring deadlines Comfortable working independently while knowing when to ask questions Strong written and verbal communication skills Preferred Experience Experience with any of the following is helpful, but we do not expect candidates to know every system: Xero QuickBooks Desktop Drake Accounting Patriot Payroll or other payroll platforms Sales tax preparation and filing Payroll processing and reconciliation Accrual-basis accounting Accounts receivable and accounts payable Deferred revenue and multi-year contracts Startup-company bookkeeping QuickBooks Online ProAdvisor certification Previous experience with a CPA, accounting, bookkeeping or tax firm What Success Looks Like Our goal is simple: our clients' financial statements should be accurate, current and ready when our team or our clients need them.
