Healthcare Operations & Assisted Living Programs Full Charge Bookkeeper Location In-Office | Poughkeepsie or Hawthorne, NY Employment Type Full-Time Salary Range $70,000 - $90,000 About PAZ Management PAZ Management is a NYS Department of Health-regulated organization operating a portfolio of Medicaid-funded Adult Homes and Assisted Living Programs (ALPs) across five locations in New York State. Our offices are located in Poughkeepsie and Hawthorne, NY. Our mission is to deliver compassionate, compliant, and operationally excellent care to the residents we serve. Role Overview We are seeking an experienced and highly capable Full Charge Bookkeeper to oversee all financial record-keeping and accounting functions across our healthcare ventures. This is a hands-on leadership role requiring both technical depth and the ability to manage and develop a small accounting team. The ideal candidate is a self-starter who thrives in a complex, multi-entity environment and is comfortable owning the full accounting cycle — from day-to-day transactions through financial reporting. Key Responsibilities Full-Cycle Accounting Manage all aspects of accounts payable and accounts receivable across multiple entities Perform bank, credit card, and intercompany reconciliations on a timely basis Maintain the general ledger and ensure accuracy of all journal entries Process payroll or coordinate with payroll vendor; ensure timely and accurate payroll tax filings Oversee month-end and year-end close processes Prepare and maintain depreciation schedules, fixed asset registers, and amortization schedules Financial Reporting & Compliance Prepare accurate monthly, quarterly, and annual financial statements for ownership review Supervise Medicaid billing personnel responsible for claims submission, Resident Room & Board collections, and PNA compliance under 18 NYCRR Part 487; able to step in and execute billing functions as needed Support annual audit preparation and coordinate with external CPAs Ensure compliance with NYS DOH financial reporting requirements and applicable Medicaid regulations Track and report on related-party transactions across affiliated entities Team Leadership & Process Management Supervise, mentor, and develop billing and accounting staff Establish and enforce internal controls, SOPs, and documentation standards Identify and implement process improvements to increase efficiency and accuracy Serve as the primary point of contact for financial operations questions from leadership Collaborate closely with the COO and ownership on budgeting, cash flow planning, and financial strategy Required Qualifications 10+ years of full-charge bookkeeping or senior accounting experience Demonstrated experience managing or supervising accounting/billing staff Proficiency in QuickBooks (Desktop and/or Online) or Sage Intacct; familiarity with both is a plus Strong working knowledge of GAAP and multi-entity accounting environments Exceptional attention to detail, organizational skills, and ability to manage competing priorities Effective written and verbal communication skills; ability to present financial information clearly to non-financial stakeholders Proficiency in Microsoft Excel and familiarity with reporting tools Preferred Qualifications Associate's or Bachelor's degree in Accounting, Finance, or related field Experience working across multiple affiliated entities with intercompany transactions Comfort with real estate or property-related accounting (depreciation, mortgages, capital improvements) What We Offer Competitive salary of $70,000-$90,000 commensurate with experience Health insurance coverage Access to dental and life insurance 401(k) retirement plan Paid time off (PTO) A stable, growing organization with meaningful work serving vulnerable populations Direct access to and visibility with senior leadership and ownership Opportunity to build and shape the accounting function as the organization grows Collaborative, professional in-office environment To apply, please submit your resume and a brief cover letter describing your relevant experience to PAZ Management.
