This role is vital in ensuring the smooth operation of our office environment while maintaining accurate financial records. The ideal candidate will be energetic, detail-oriented, and proactive, ready to manage administrative tasks, oversee office functions, and handle bookkeeping responsibilities with enthusiasm. Responsibilities Backup for daily office operations, including front desk management, multi-line phone systems, and calendar coordination to ensure seamless workflow. Manage vendor relationships by processing invoices, and ensuring timely payments through platforms like QuickBooks. Handle human resources functions such as onboarding new employees, maintaining personnel files, and supporting payroll processing. Coordinate event planning for meetings, company functions, and community outreach activities to promote engagement and team building. Maintain accurate bookkeeping records by tracking expenses, reconciling accounts, and preparing financial reports. Organize filing systems, manage document retention policies, and ensure compliance with office procedures. Assist with budgeting efforts by monitoring expenditures and providing financial insights to leadership. Requirements Proven experience in office management or administrative roles within a professional environment. Demonstrated bookkeeping skills using QuickBooks or similar accounting software. Strong organizational skills with the ability to manage multiple priorities efficiently. Excellent communication skills—both verbal and written—to interact effectively with staff, vendors, and clients. Good Interpersonal skills a must. Knowledge of human resources practices including payroll processing and employee onboarding. Experience in event planning and vendor management to coordinate logistics smoothly. Proficiency in clerical tasks such as filing, data entry, and managing multi-line phone systems. Ability to handle schedule management with precision while maintaining professionalism at all times.
