Primary Responsibilities:
Accounts Receivable:
Monthly, review aged A/R report with community manager and seek to collect past due accounts consistent with community policies Understand community collection policies and apply late fees and interest as directed by the collection policy Issue homeowner statements as requested by the
Accounting Department Accounts Payable:
Process invoices in a timely manner using Appfolio and/or Avid Pay/Avid Invoice. Collect and track vendor W-9s Maintain the budget and notify community manager of variances Responsible for daily clearing positive pay exceptions through online banking.
Deposit Management:
Prepare and process in house and lockbox deposits for Communities Record deposits into Appfolio for Community Management Responsible for daily clearing lockbox exceptions
Owner Updates:
Update owner information in Appfolio and other systems as received Send welcome letters/request for contact information form to all new owners Send email invitation link for Appfolio to new owners
Document Requests/HOA Demands:
Process all Homewise document requests by due date Maintain and update Homewise documents
New Community Setup:
Assist with Appfolio owner list template Update Secretary of State Setup in Homewise Create welcome letter
Other Duties:
Assist the Accounting Department as needed Maintain professional appearance and congenial attitude towards visitors and other employees Comply with local, state, and federal government reporting requirements Respond to general phone calls, faxes, and emails daily or within 24 hours Investigate owner complaints and execute a solution in a timely manner Maintain an orderly digital accounting filing system Assist with other duties as requested
