Job Description
Overview We are seeking a detail-oriented and highly organized Construction AR/AP & Billing Specialist to join our growing team. This position plays a key role in supporting the financial operations of our company by managing accounts receivable, accounts payable, subcontract billing, progressive billing, lien waiver processing, and other construction accounting functions. Duties Prepare and process customer invoices, including progressive billings and schedule of values (SOV) billing Manage monthly project billing cycles and ensure timely submission of invoices Review contracts and subcontract agreements for billing requirements and compliance Track and follow up on outstanding receivables and collections Coordinate with project managers regarding billing status, project progress, and customer requirements Reconcile billing discrepancies and resolve customer payment issues Maintain accurate customer account records and billing files Assist with preparation of billing documentation and related construction billing forms Monitor retention balances and release schedules Review, verify, and process vendor and subcontractor invoices Ensure invoices are coded correctly and entered accurately into the accounting system Process weekly check runs Maintain organized AP records and vendor files Research and resolve invoice discrepancies or vendor issues Monitor vendor statements and reconcile accounts Assist with credit card reconciliations and expense reporting Ensure compliance with company policies and approval procedures Process conditional and unconditional lien waivers Track subcontractor compliance documents including W-9s, and signed contracts Ensure subcontractor billing packages are complete before payment processing Maintain organized project compliance documentation Assist with subcontractor onboarding and compliance tracking Coordinate release of payments based on lien waiver and compliance requirements Set up new customer accounts and credit applications Apply customer payments and reconcile customer accounts Track project-specific billing requirements Monitor sales tax documentation and exemptions Coordinate with customers regarding billing disputes Maintain vendor insurance and compliance tracking Process employee reimbursements Monitor recurring expenses and subscriptions Assist with vendor contract management Prepare 1099s for subcontractors and vendors Assist with year-end AP accruals Skills Minimum 3-5 years of AR/AP and billing experience in the construction industry required Strong understanding of progressive billing, subcontract billing, retention, and lien waiver processing Experience with construction accounting practices and job costing Experience with Sage Intacct required or strongly preferred Experience with Sage Construction Management a plus Proficient in Microsoft Excel and Microsoft Office Suite Strong organizational skills and attention to detail Ability to prioritize multiple tasks and meet tight deadlines Self-motivated with the ability to work independently Strong communication and problem-solving skills Ability to adapt to changing priorities and last-minute requests Team-oriented attitude with a willingness to support others High level of professionalism, discretion, and reliability The ideal candidate has experience in the construction industry, understands the fast-paced nature of project billing, can adapt quickly to shifting priorities and deadlines, and thrives in a collaborative, team-oriented environment. Pay:
