Job Description

Accounting & Administrative Coordinator Job Type:
Full-Time/Part-Time Experience:
3-5 years

Construction / Business Services About the Position We are seeking a highly organized, detail-oriented Accounting & Administrative Coordinator to join our team. This position is ideal for someone with strong accounting experience who enjoys a varied role that combines accounts receivable/payable, financial administration, vendor coordination, office support, and day-to-day problem solving. The successful candidate will be comfortable working independently, managing multiple priorities, meeting deadlines, and shifting between accounting and administrative responsibilities as needed. Key Responsibilities Receive, organize, review, and log packing slips, tickets, invoices, and other job-related documentation. Review and verify receivable totals and prepare receivables summaries. Perform company account reconciliations and assist with maintaining accurate financial records. Process payments, calculate invoices, assist with collections, and prepare financial reports. Perform accounts payable/accounts receivable functions and general accounting duties. Maintain organized files, records, documentation, and correspondence. Coordinate vendor relationships, including setting up vendor accounts and researching purchasing options. Perform administrative duties including data entry, filing, calendar management, and correspondence. Answer incoming telephone calls, provide general information, and direct calls to the appropriate staff member. Assist with special projects and other accounting or administrative duties as assigned.
Qualifications & Skills Required:
3-5 years of accounting experience in a business environment. Strong understanding of general ledger accounting and the difference between a Balance Sheet and Profit & Loss Statement. Advanced QuickBooks knowledge and experience. Strong understanding of Accounts Receivable and Accounts Payable. Strong Microsoft Excel skills. Excellent organizational and attention-to-detail skills. Ability to prioritize work and consistently meet deadlines. Ability to manage multiple responsibilities and easily transition between different types of tasks. Proficiency with email and Microsoft Office Suite. Strong written and verbal communication skills. Ability to work independently while also supporting supervisors and other team members.
