Job Description
Position Summary The Accounting Specialist is responsible for maintaining accurate financial records and supporting the day-to-day accounting functions of the organization. This position requires exceptional attention to detail, strong organizational skills, and a commitment to accuracy. The successful candidate will be someone who enjoys bringing order to complex tasks, takes ownership of their work, and values being part of a growing, family-owned business. Primary Responsibilities Maintain the integrity and accuracy of the company's financial records Process and reconcile company credit card receipts and statements Order, activate, cancel, and manage employee company credit cards Record customer payments, deposits, and electronic transactions in QuickBooks Online Deposit checks using remote deposit scanner and record transactions Enter vendor bills into QuickBooks and prepare/print checks for payment Prepare worksheets, reports, and submit Pennsylvania Sales Tax filings Record ACH payments and electronic transactions Prepare and deposit cash at the bank (limited) Record office rental income and related payments Allocate and record check and ACH payments Reconcile merchant services and credit card processing accounts Process and record loan payments Monitor online bank account balances and transfer funds between accounts as needed Reconcile monthly bank & credit card statements Research accounting discrepancies and resolve questions with third party accountant Prepare and submit monthly financial reports Maintain accurate accounting records by monitoring overdue items, outstanding checks, and ensuring QuickBooks balances match all company bank accounts Present financials to ownership Operational Accounting & Process Improvement including: Evaluate & improve accounting workflows Identify opportunities to automate repetitive tasks Reduce manual data entry through technology and system enhancements Develop and document standardized accounting procedures Partner with leadership on software enhancements and operational improvements Qualifications 1 year Experience with QuickBooks Online 3+ years of accounting or bookkeeping experience, preferably in a small business environment Strong understanding of bookkeeping principles and bank reconciliations High attention to detail and accuracy Exceptional organizational and time management skills Professionalism, discretion, and ability to maintain confidentiality Proficient in Microsoft Office applications Ability to prioritize multiple deadlines and work independently Strong communication and problem-solving skills Success in this
