Our Accounting team plays an important role in making sure financial information is accurate, organized, and available to support smart decisions throughout the company. As a Bookkeeper, you'll support the day-to-day accounting operations of COCOON and work closely with the Controller to maintain accurate financial records across our projects and business. You'll manage accounts payable and receivable activities, customer billing, vendor documentation, account reconciliations, and job cost reporting. This role requires someone who is highly organized, detail-oriented, dependable, and comfortable taking ownership of recurring accounting responsibilities while working collaboratively with teams throughout the company. What You'll Do Accounts Payable & Vendor Management Record vendor invoices accurately and assign expenses to the appropriate customer, project, or account. Record and maintain receipts for company credit card purchases, ensuring proper job and expense coding. Prepare approved checks for payment and match check stubs with invoices and supporting documentation. Set up new vendors and ensure required documentation, including W-9s and Certificates of Insurance, is collected and maintained. Review vendor records and supporting documentation for completeness and accuracy. Assist with identifying and resolving duplicate charges, missing documentation, or other vendor discrepancies. Customer Billing & Accounts Receivable Record customer estimates and approved change orders within the accounting system. Prepare and issue customer invoices at the appropriate stages of each project. Record and accurately apply customer payments. Maintain organized and complete customer billing documentation. Assist with monitoring outstanding receivables and communicate billing discrepancies or concerns to the Controller. Work with internal teams as needed to confirm project billing details and ensure invoices align with approved project information. Reconciliation & Job Costing Reconcile bank, credit card, and loan statements on a regular basis. Run weekly job cost reports and assist with maintaining accurate project financial information. Verify that invoices, purchases, payments, and other expenses are assigned to the appropriate customer or project. Research discrepancies within financial records and work with the Controller to resolve issues. Help identify unusual transactions, missing information, or inconsistencies that may impact financial reporting. Accounting Reporting & Support Generate reports related to cash receipts, accounts payable, accounts receivable, expenditures, job costs, and other financial activity as needed. Assist the Controller with month-end and year-end accounting activities. Compile supporting documentation for financial reviews, audits, and other accounting needs. Prepare ad hoc reports and financial information as requested by the Controller or company leadership. Assist with maintaining established accounting procedures and internal controls. Provide accurate and timely financial information to support company and project-level decision-making. Documentation & Recordkeeping Maintain organized historical accounting records through both physical and electronic filing systems. Scan, organize, and retain financial documentation according to company procedures. Maintain confidentiality when working with company, customer, vendor, and employee financial information. Ensure supporting documentation can be easily located when needed for reporting, reconciliation, or audit purposes. Team Collaboration & Communication Work closely with the Controller on accounting priorities, reporting needs, and financial discrepancies. Communicate with internal teams to obtain missing invoices, receipts, project information, or other required documentation. Communicate professionally with vendors and other outside partners when accounting documentation or clarification is needed. Provide dependable follow-through on assigned accounting responsibilities and requests. Process & Organization Follow COCOON's accounting procedures, documentation standards, and internal financial controls. Manage recurring accounting responsibilities and deadlines with accuracy and consistency. Maintain organized financial files, vendor records, customer information, and supporting documentation. Take ownership of assigned work and follow discrepancies through to resolution. Identify opportunities to improve accounting organization, documentation, or administrative processes. Perform other related accounting and administrative responsibilities as assigned. What You'll Bring Minimum of 5 years of bookkeeping, accounting, or related financial experience. Strong proficiency with QuickBooks and experience managing day-to-day accounting transactions. Knowledge of generally accepted accounting principles (GAAP) and standard bookkeeping practices. Experience with accounts payable, accounts receivable, account reconciliations, and financial reporting. Proficiency with Microsoft Office 365, particularly Excel. Strong attention to detail, organization, accuracy, and follow-through. Ability to prioritize multiple responsibilities and meet recurring financial deadlines. Experience with job costing, construction, residential remodeling, or another project-based business environment is a plus.
