New Jersey-based office presence required Neptune, NJ Position Overview A mission-driven organization is seeking an Accounting Operations Assistant to join its accounting and finance team. This is an excellent opportunity for an entry-level accounting professional or someone with foundational accounting experience who is looking to grow within a collaborative, team-oriented environment. The Accounting Operations Assistant will provide day-to-day support across core accounting operations, with a primary focus on Accounts Payable, Accounts Receivable, documentation, billing support, deposits, and project-based accounting assistance. This role will work closely with the accounting team and other internal departments to ensure accurate financial records, timely processing, and smooth operational workflows. Key Responsibilities Support daily accounting operations, including basic accounting functions, financial documentation, and related administrative processes. Maintain the Accounts Payable process by entering invoices, recording expenses, processing payments, and ensuring vendor-related documentation is accurate and complete. Assist with Accounts Receivable functions, including recording billings, posting payments, preparing deposits, and maintaining supporting documentation. Organize, track, and maintain accounting records such as invoices, departmental billings, employee reimbursements, cash receipts, journal vouchers, and other finance-related documents. Provide support for labor-related projects and accounting operations tied to internal financial processes. Help ensure financial information is processed accurately, timely, and in accordance with internal procedures. Collaborate with accounting team members, department leaders, and internal stakeholders to resolve questions, gather documentation, and support financial reporting needs. Assist with special projects, process improvements, and other accounting-related tasks as assigned. Communicate professionally with internal team members and external contacts regarding invoices, payments, billing questions, and financial documentation. Maintain confidentiality and accuracy when handling sensitive financial information. Qualifications 2-4 years of related experience in accounting, finance, office administration, bookkeeping, or a similar support role preferred. Foundational understanding of basic accounting functions, including Accounts Payable and Accounts Receivable. Proficiency with Microsoft Office Suite , especially Excel and Outlook. Experience using accounting software or ERP systems preferred. Strong attention to detail and ability to meet deadlines. Ability to organize financial documents and maintain accurate records. Strong written and verbal communication skills. Comfortable working cross-functionally with multiple departments. Ability to handle confidential information with professionalism and discretion. Strong follow-up skills and willingness to take ownership of assigned tasks. Education High school diploma required. Some college coursework, associate degree, or related accounting/finance training preferred. Work Environment & Schedule This position is currently hybrid due to office renovation/relocation. Employees are currently expected to report onsite one day per week , with the remainder of the week worked remotely. Beginning in Spring 2027, the role is expected to transition to three days per week onsite . The organization is expecting to move into a renovated office location around March 2027 . Summer schedule includes Fridays off from Memorial Day through Labor Day , with longer workdays Monday through Thursday to maintain a 35-hour workweek.
