Accounts Payable (AP) Specialist

CFO PURPOSE

: HFHGPBC is seeking a detail-oriented and dependable Accounts Payable (AP) Specialist to manage day-to-day payables and support accurate financial operations. This role is responsible for processing invoices, maintaining vendor relationships, and ensuring timely and compliant payments. There is some flexibility on this position with scheduling. You would be working in the office most days, however some work from home days could be possible based on the scheduling needs of the finance department.

Key Responsibilities:

Process and code vendor invoices accurately and in a timely manner Match invoices to purchase orders and receiving documentation Communicate with other departments regarding approvals and other accounts payable matter. Maintain and reconcile AP subledger to the general ledger Manage vendor setup, W-9 collection, and 1099 tracking Respond to vendor inquiries and resolve discrepancies Comply with company policies and internal controls Assist with month-end close activities related to accounts payable Maintain organized digital and physical AP records Support audits and provide requested documentation Review and follow up on credit card transactions with users Other tasks that may be assigned by controller Qualifications Associate's or Bachelor's degree in Accounting, Finance, or related field (preferred) 2+ years of accounts payable experience Strong understanding of AP processes and general accounting principles Proficiency in accounting software and Microsoft Excel High level of accuracy, organization, and attention to detail Ability to meet deadlines in a fast-paced environment Strong communication and vendor service skills Preferred Skills Experience with QuickBooks Online accounting system Experience with multi-entity or high-volume AP environments Knowledge of 1099 reporting requirements Experience with bill.com accounts payable software Habitat for
