Job Description

Job Summary We are seeking a proactive and detail-oriented Administrative Assistant and Bookkeeper to join our dynamic team. This vital role combines administrative support with comprehensive bookkeeping responsibilities, ensuring smooth daily operations and accurate financial management. The ideal candidate will be energized by multitasking, possess strong organizational skills, and have a passion for maintaining precise financial records. Your expertise will help us uphold our commitment to excellence and efficiency in all aspects of our organization. Duties Manage day-to-day administrative tasks, including scheduling, correspondence, and document organization to support team productivity. Maintain accurate financial records using accounting software such as QuickBooks Online, Xero, Sage, or similar platforms. Process payroll, handle accounts payable and receivable, and perform bank and account reconciliations to ensure financial accuracy. Prepare and analyze financial reports, including balance sheets, income statements, and budget reports in accordance with GAAP (Generally Accepted Accounting Principles). Record journal entries, perform general ledger accounting, and ensure compliance with accounting standards and policies. Conduct account analysis, double entry bookkeeping, and account reconciliation to verify data integrity. Assist with budgeting processes and provide support for financial audits or reviews as needed. Skills basic experience with accounting software such as QuickBooks (including QuickBooks Online). Strong knowledge of corporate accounting principles, non-profit accounting practices, and public accounting standards. Proficiency in spreadsheets (Excel or Google Sheets) for data analysis and financial reporting. Well-versed in financial concepts including debits & credits, journal entries, general ledger reconciliation, and account analysis. Ability to process payroll accurately while managing accounts payable and receivable efficiently. Familiarity with GAAP standards, bank reconciliation procedures, and double entry bookkeeping practices. Excellent organizational skills with attention to detail; capable of managing multiple priorities simultaneously.
