We are seeking a highly organized, detail-oriented Operations & Finance Manager to oversee our bookkeeping processes, payroll administration, invoice management, QuickBooks, Shopify-related financial tracking, and financial reporting. This role is ideal for someone who enjoys creating systems, improving processes, and helping a growing retail business stay organized and financially healthy. Position Details Part-time, approximately 10-15 hours per week Flexible schedule Primarily based in Ann Arbor Competitive hourly pay based on experience Key Responsibilities Financial Operations Manage and process payroll Track and manage all vendor invoices and accounts payable Ensure bills are accurately recorded and paid on time Maintain our books in QuickBooks Reconcile bank and credit card accounts Maintain accurate financial records Coordinate with our CPA and tax professionals Monitor cash flow and outstanding invoices QuickBooks & Financial Reporting Maintain accurate and up-to-date QuickBooks records Categorize and reconcile transactions Prepare monthly Profit & Loss statements Review financial reports for accuracy Track expenses and profitability Assist with budgeting and forecasting Provide ownership with clear, timely financial information Shopify & Retail Accounting Work within Shopify to ensure sales, refunds, discounts, gift cards, and other transactions are accurately reflected in our financial records Reconcile Shopify sales with bank deposits and QuickBooks Monitor inventory and cost information in Shopify Help identify discrepancies between Shopify, invoices, inventory, and accounting records Assist with financial reporting across our three retail locations and online store Operational Support Improve financial and administrative systems Maintain organized vendor and financial records Support purchasing and inventory processes as needed Develop simple systems that make it easier for ownership to understand the financial health of the business Identify discrepancies and follow through until they are resolved Qualifications 5+ years of bookkeeping, accounting, or business operations experience preferred Experience managing payroll Strong QuickBooks experience required Hands-on Shopify experience strongly preferred Experience with accounts payable and invoice tracking Strong understanding of Profit & Loss statements Retail or multi-location business experience is a major plus Excellent organizational skills and attention to detail Comfortable working independently Strong spreadsheet and computer skills Able to identify problems and proactively find solutions Ideal Candidate You are the person who loves keeping things organized, notices when numbers don't match, and enjoys building systems that make a business run better. You don't just enter numbers — you understand what they mean. You're comfortable looking at a P&L, QuickBooks, Shopify reports, bank statements, or a stack of vendor invoices and figuring out what needs attention.
