Job Description
BOOKKEEPING & ADMINISTRATIVE COORDINATOR
JackJaw is looking for a dependable, detail-oriented person to join our growing team in West Lafayette, Indiana. This is a full-time position combining day-to-day bookkeeping with general administrative and operational support. JackJaw is a growing small business, so this is not a narrowly defined desk job. The successful candidate will have primary responsibilities but must also be comfortable shifting priorities, solving problems, and helping with administrative needs throughout the business. This position will work closely with company ownership and serve as an important part of JackJaw's daily operations.Primary Responsibilities Bookkeeping and Financial Administration:
Reconcile bank, credit-card, customer, and vendor transactions in QuickBooks Online Maintain accurate and current financial records Manage accounts payable and accounts receivable Assist with customer invoicing, payment processing, and collections Review transactions for accuracy and proper categorization Assist with payroll administration through our automated payroll system Prepare and file sales-tax reports Generate routine financial and operational reports Organize receipts, invoices, purchase orders, and supporting documentation Identify, research, and help correct financial discrepancies Coordinate with company ownership, accountants, customers, and vendors as neededAdministrative and Operational Support:
Assist with customer order processing, data entry, and document preparation Answer or appropriately route customer and vendor questions Maintain organized digital and physical records Assist with purchasing, inventory records, and shipping documentation Prepare correspondence, reports, spreadsheets, and other business documents Help develop and improve administrative procedures as the company grows Track open items, deadlines, and follow-up responsibilities Support company ownership with general administrative needs and special projects Perform other reasonable business-support duties as needed Qualifications Previous bookkeeping experience Working knowledge of QuickBooks Online Strong attention to detail and commitment to accurate work Proficiency with spreadsheets, email, and standard office software Ability to handle confidential financial and business information responsibly Strong organizational, communication, and problem-solving skills Dependable attendance and the ability to work independently Ability to manage changing priorities without losing track of important details A flexible, team-oriented attitude and willingness to assist outside a narrowly defined list of duties A college degree is not required. We value relevant experience, reliability, good judgment, and a willingness to learn. Schedule and Compensation Full-time, approximately 40 hours per week Salaried, non-exempt position Work is generally performed during weekday business hours, although exact hours and daily priorities may occasionally change based on business needs This is an onsite position in West Lafayette, Indiana Occasional remote work may be available when job responsibilities and business needs allow; this is not a fully remote or regularly scheduled hybrid position This position does not currently include employer-sponsored health insurance, however, JackJaw is considering making a change to this as we bring on additional teammembers.
