Nitro Station — Fractional Controller A fractional, 20-hour-per-week accounting role covering payroll, accounts receivable, accounts payable, and a timely month-end close for Nitro Station, reporting directly to ownership. About Nitro Station Nitro Station is a fuel and convenience retail business based in Rexburg, Idaho, serving the local community with fuel, in-store merchandise, and house-account service for area businesses. We're family owned and operated — we founded Nitro Station ourselves, and this role is a real opportunity to help us grow it further. We've built a state-of-the-art fueling and convenience experience for our customers, and we're in the process of bringing that same standard to our financial operations with a modern, AI-supported back office. Position Summary Nitro Station is seeking a Fractional Controller to take over the accounting function currently run by our outgoing controller. This is a senior-level, part-time engagement of approximately 20 hours per week, built around a modernized financial back office that connects live data from Petrosoft (CStoreOffice), QuickBooks Online, and our fuel supplier. The Fractional Controller reports directly to ownership and is responsible for payroll, accounts receivable, accounts payable, and the monthly close. This role is not routine data entry — it is the senior financial judgment that reviews what the automated back office surfaces, resolves what it can't, and delivers a clean, accurate close every month. Key Responsibilities Payroll Own the twice-monthly payroll cycle end to end in

QuickBooks Payroll:

reviewing hours, processing pay runs, and ensuring accurate, on-time direct deposits. Coordinate hours confirmation with team leads and manage new-employee setup in the payroll system. Oversee payroll tax filings and deposits, ensuring full federal and state compliance. Accounts Receivable Manage the 15-day house-account invoicing cycle, built from Petrosoft house-account data, ensuring invoices go out accurately and on schedule. Track aging receivables and routinely follow up on outstanding balances. Accounts Payable Manage vendor payables, including recurring merchandise, fuel-related, and service-provider invoices. Reconcile Fuel Supplier invoices and daily credit-card settlement activity against Petrosoft sales data. Month-End Close Own the full monthly close in QuickBooks Online, including review of the automated Petrosoft-to-QuickBooks pre-sync readiness report before any data syncs. Reconcile Petrosoft, Fuel Supplier, and QuickBooks Online against one another and resolve discrepancies before they reach the books. Prepare accurate financial statements and deliver the month-end report to ownership by the 10th of the following month. Qualifications Minimum 5 years of hands-on experience in QuickBooks Online, payroll processing, accounts payable, accounts receivable, and month-end account reconciliation and reporting to ownership. Demonstrated ability to independently manage a full monthly close, with strong attention to chart-of-accounts accuracy and general ledger mapping. Highly thorough and organized, with the discipline to follow our existing online filing and recordkeeping systems precisely. Sound independent judgment and a proactive, problem-solving mindset — willing to hold a close until the numbers are right, flag issues before they become month-end surprises, and actively improve how we do things rather than just checking boxes. Comfortable working within a technology-forward accounting environment, including automated reconciliation tools, pre-close readiness reporting, and Google Workspace / Google Sheets. Comfortable with a high level of trust and discretion — this role has visibility into bank balances, debt service, and cash-flow decisions. Strong written communication skills, with the ability to report financial results clearly and directly to ownership. Experience with multi-location, retail, or fuel/convenience-store accounting is a plus. What Success Looks Like This role is deliberately not a full-time bookkeeping position. Nitro Station's back office is built around an automated reconciliation system that ties Petrosoft, Fuel Supplier, and QuickBooks Online together and flags discrepancies before they ever reach the books. The Fractional Controller's value is judgment: reviewing what the automation surfaces, catching what it can't, and owning the final close and the numbers ownership relies on. Success in this role looks like a clean, on-time monthly close with no surprises, a payroll cycle that runs without a missed beat, and financial reporting ownership can act on with confidence. Engagement, Schedule & Logistics Engagement type: Fractional / part-time contractor, approximately 20 hours per week.

Flexible, with availability required around the twice-monthly payroll cycle and the monthly close.

Compensation:

$27

•32/hour, depending on experience.

Start date:

As soon as possible, to allow overlap with the outgoing controller during transition.

$24.00
