Invoice Specialist Location:
Southeastern Wisconsin (In-Office)Schedule:
Full-Time | Monday-Friday We are seeking an Invoice Specialist to become an integral part of our accounting and operations team. This role is responsible for high-volume invoicing, accurate data entry, and maintaining the integrity of billing, inventory, and financial records within our ERP system. This position is ideal for someone who is detail-oriented, process-driven, and comfortable working in a manufacturing environment where accounting, inventory, and production activity are closely connected. Responsibilities Data Entry, ERP & Record Accuracy Accurately input and maintain customer, billing, and transaction data within Sage 100 Maintain organized digital filing systems for invoices, production records, and supporting documentation Execute general ledger-related entries tied to invoicing and inventory activity Perform regular reconciliations to identify and resolve discrepancies Invoicing Prepare, review, and issue customer invoices in a timely and accurate manner Ensure invoices are correctly calculated and compliant with company policies and customer agreements Handle high-volume invoicing with consistency and attention to detail Coordinate with internal teams to ensure invoicing aligns with production, shipping, and sales activity Production & Inventory Support Enter production transactions using Bills of Materials (BOMs) within Sage 100 Assist with inventory-related entries tied to production, adjustments, transfers, reconciliation, and corrections Participate in physical inventory counts Billing & Accounts Receivable Support Monitor accounts receivable and assist with follow-up on outstanding invoices Investigate and resolve billing discrepancies and customer invoice questions Maintain accurate and up-to-date financial and inventory records within the ERP platform Reporting, Audit & Cross-Functional Support Assist with monthly, quarterly, and annual reporting related to invoicing and inventory Support the annual audit process by providing documentation and transaction detail Provide support to related operational areas as needed, including purchasing and inventory administration, to ensure accurate system data and smooth workflows Process Improvement Identify opportunities to improve invoicing, data entry, and production-related workflows Follow and help reinforce best practices for documentation, accuracy, and internal controls QualificationsEducation High school diploma or equivalent required Associate degree or higher in Accounting, Finance, or a related field preferred Skills & Attributes Highly detail-oriented, accurate, and well-organized Comfortable working with structured processes and system-driven workflows Able to manage a varied workload and shifting priorities Proactive problem-solver who takes ownership of their work Strong communication skills and ability to collaborate across departments What We Offer Stable, in-office role with predictable hours in a thriving, growing company, offering long-term job stability A kind, supportive work culture built on grace, respect, and teamwork Dogs in the office and a pet-friendly environment A team that connects through group games, puzzles, and shared activities that encourage collaboration and fun Opportunity to grow into inventory, accounting, or operations-focused roles The chance to do meaningful work that directly improves pets' lives, supporting products that make a real impact on animal health and well-beingJob Type:
