Job Description

We are a commercial construction firm specializing in ground-up hotel projects and are seeking a detail-oriented, proactive Construction Bookkeeper & Assistant Project Management to join our growing team. This hybrid role will handle day-to-day financial operations while supporting project management and administrative functions across multiple job sites. Ideal candidates have experience in commercial construction—preferably hospitality—and can balance both office and field-related tasks efficiently.
Key Responsibilities:
Construction Bookkeeping:
Manage all financial aspects of multiple hotel construction projects. Process subcontractor pay apps, AIA billing, lien releases, and vendor payments. Track job cost codes, budgets, and committed costs across all active projects.
Maintain compliance documentation:
W-9s, insurance certs, contracts, and waivers. Prepare monthly project financial summaries, forecast cash flow, and monitor variances. Coordinate with CPA and internal stakeholders on quarterly reports and audits. Ensure timely payroll reporting and assist with certified payroll, if required.
Assistant Project Management:
Support Project Manager in planning and scheduling across hotel builds. Help manage submittals, RFI tracking, material ordering, and lead time reviews. Assist with project coordination meetings, field reports, and punch list tracking. Interface with subcontractors, suppliers, and clients as needed.
Organize construction documents:
plans, specs, permits, and as-builts. Monitor project timelines, follow up on action items, and help resolve field issues. Provide administrative support for job site logistics, inspections, and closeout.
Requirements:
3+ years of experience in commercial construction bookkeeping and/or assistant project management. Experience with new-build hotel projects or large-scale commercial builds preferred. Proficiency in accounting software (e.g., QuickBooks, Sage 300 CRE, Foundation) and PM tools (e.g., Procore, Buildertrend, or similar). Strong understanding of AIA billing, job costing, contracts, and construction documents. High attention to detail, organization, and follow-through. Strong communication and problem-solving skills. Ability to multitask across projects and work both independently and collaboratively.
Preferred Qualifications:
Associate or Bachelor's degree in Accounting, Construction Management, or related field. Bilingual English/Spanish is a plus. Familiarity with hospitality brands (Hilton, Marriott, IHG, etc.) project requirements.
Compensation:
Competitive salary based on experience. Paid time off and holidays. Health insurance, mileage reimbursement, etc.
Pay:
$23.01 - $27.72 per hour Expected hours: 40.0 per week
