Job Description

Essential duties and responsibilities Billing and invoicing Prepare and send accurate customer invoices daily from shipment and order data in Business Central. Verify pricing, terms, freight and sales tax against customer agreements before invoices go out. Process credit memos and rebills, with supporting documentation and approval per policy. Manage customer billing requirements, including portals, EDI or e-invoicing, and required PO references.
Maintain customer master data:
bill-to and ship-to, payment terms, tax status and contacts. Cash application Post customer receipts and deposits daily (checks, ACH, wires, credit cards) to the correct invoices. Research and clear unapplied cash, short-pays and overpayments within five business days. Process customer credit card payments and maintain card processing access. Hand off a daily receipts summary to the Accounting Manager for cash control reporting. Collections Work the AR aging weekly, prioritizing by balance and days past due. Contact customers through a standard dunning cadence (reminders at 1, 15, 30 and 60 days past due). Negotiate payment plans and document commitments in the customer account. Recommend credit holds, collection agency placement and write-offs to the Controller. Partner with Sales and Customer Service to resolve billing disputes quickly. Credit management Take in and review new customer credit applications, references, and credit reports. Recommend credit limits and terms to the Controller for approval. Monitor accounts against credit limits and flag orders that exceed them. Run an annual credit review of active accounts and propose limit changes. Deductions, claims and returns Track and resolve customer deductions, chargebacks and short-pays; route valid items for credit. File and follow up on freight claims with carriers. Coordinate with AP and Shipping on customer-side RMA credits. Sales tax and compliance Maintain customer tax setup and exemption certificates in Avalara; keep certificates current. Answer customer sales tax questions and support sales tax filing prep with AR data. Identify aged customer credit balances for refund or unclaimed property review. Month-end close and reconciliation Complete AR close tasks by business day 3: billing cutoff, month-end AR adjustments, and posting. Reconcile the AR subledger to the general ledger monthly; resolve differences. Prepare the aging and support schedules for the allowance for doubtful accounts. Provide AR and sales support for the annual audit (Feb-Apr) and respond to audit inquiries. Reporting and analysis Publish a weekly AR aging and collections report to the Accounting Manager and CFO. Provide a weekly 13-week cash receipts forecast input for CFO cash flow management. Track and report DSO, past-due percentage, and deduction trends monthly. Supply AR data for rebate and commission calculations reviewed by the Controller. Process improvement Document AR procedures and keep desk instructions current. Identify automation in
Business Central:
automated statements, payment reminders, and online payment options. Support system upgrades and testing as Kaemark scales its processes. Qualifications Required 3+ years of full-cycle accounts receivable experience, ideally in manufacturing or distribution. Working knowledge of Business Central/NAV or a comparable ERP.
Intermediate Excel:
pivot tables, lookups, aging analysis. Understanding of basic accounting, AR reconciliations and month-end cutoff. Clear, professional phone and email skills for collections and dispute resolution. Preferred Associate's or bachelor's degree in accounting, finance or business
Pay:
$22.00 - $26.25 per hour Expected hours: 40.0 per week
