SCHEDULE
PRIMARY PURPOSE:
Bookkeeper for Facilities and Construction is responsible for coordination the department and project budgets, and a variety of tasks to facilitate processing of consultants and vendors.
QUALIFICATIONS
Education/Certification:
High school diploma or GED equivalent College course work in accounting preferred
Special Knowledge/Skills:
Knowledge of acceptable accounting procedures and regulations. Ability to develop and work spreadsheets and databases. Problem analysis and problem resolution skills. Ability to communicate and interact effectively with district personnel and departments. Knowledge of accounting for fixed assets. Knowledge of district purchasing policies.
Experience:
Bookkeeping experience (minimum of three years), preferred. Preferred construction experience/background.
MAJOR RESPONSIBILITIES AND DUTIES
Maintain accounts for the Facilities and Construction department budget and assist with budget planning. Maintain accounts for Facilities and Construction department projects. Verify construction bonds, and construction vendor's general liability insurance. Assist Business and Financial Services with project budget transfers and project account reports. Coordinate with Accounting, the creation of new project accounts for construction tracking. Create project construction financial folders for audits, via paper and electronic. Coordinate with accounting when setting up new construction vendors. Process contracts, agreements, proposals, and quoted purchase orders for the department. Coordinate with Purchasing Department to obtain vendors, quotes and current bid information. Process all construction pay applications, invoices and issue checks as needed for the department and projects. Process construction projects and department budget amendments and journal entries. Process contract or account change orders. Coordinate reconciliation of project accounts. Assist independent auditors during audits of construction projects. Pay all utility bills for the district. Manage department cards. Assist other department secretaries on an as needed basis; including answering the main phone line and front door. Perform other duties as assigned by the Associate Superintendent of Facilities and Construction.
