Job Description

Job Overview Brown Brothers Construction Co. is looking for an organized, detail-oriented, and dependable Front Desk / Accounts Payable / Accounts Receivable & Equipment Records Specialist to join our team. This is a key position that combines accounting, customer accounts, equipment records, regulatory compliance, and reporting. We are looking for someone who takes pride in accuracy, follows through on responsibilities, and can work independently in a fast-paced construction environment. The person in this role will have responsibility for important financial and equipment records and will work directly with our accounting, operations, and equipment teams. What You'll Do Administration
  • Answer phones
  • Greet customers/visitors, vendors, etc.
  • Respond to emails and voicemails
  • Mail incoming/outgoing, deliveries, etc.
  • Organize electronic and physical office records
  • Assist in ordering and maintaining supplies
  • Collaborate with Marketing on design and marketing materials for events and social media.
Accounts Payable Process vendor invoices, approvals, coding, and payments Reconcile vendor statements and resolve discrepancies Maintain accurate AP records Manage W-9 and vendor information Accounts Receivable Prepare and send customer invoices Monitor aging and follow up on past-due accounts Contact customers regarding outstanding balances Apply payments and reconcile customer accounts Prepare monthly statements and finance charges Work with customers and project teams to resolve billing issues Equipment & Asset Records Maintain equipment records and the Equipment Master List Track equipment purchases, sales, transfers, titles, and registrations Maintain equipment information in ComputerEase Audit equipment records for accuracy Coordinate title transfers and registrations Compliance Manage IRS Form 2290 requirements Maintain IFTA permits and records Assist with FMCSA documentation Obtain and track oversize/overweight permits Monitor important equipment and regulatory renewal deadlines Reporting & Cost Tracking Track equipment maintenance and repair costs Prepare monthly equipment cost reports Assist with financial reporting and month-end close Identify discrepancies and opportunities to improve processes and control costs What We're Looking For We are looking for someone who is accurate, organized, dependable, and willing to take ownership of their work.
The ideal candidate will have:
2+ years of accounting, AP/AR, or related experience Construction, heavy equipment, or transportation experience preferred ComputerEase experience preferred Strong Excel and Microsoft Office skills Excellent attention to detail Strong organizational and time-management skills Good communication skills The ability to work independently and manage multiple deadlines Strong problem-solving and follow-through skills Professional and confident communication with customers, vendors, and employees Why Join Brown Brothers Construction? Pay:
