Job Description

BOOKKEEPER
Reports to: Executive Director (Board President in absence of Executive Director)
Financial Accountability:
Executive Director and Board Treasurer Status:
To be determined by the Board Hourly rate: $20.00 Position Summary The Bookkeeper provides bookkeeping, administrative, registration, recordkeeping, and general office support for the Alliance Française de Charlottesville (AFC). This is primarily an administrative and financial-recordkeeping position, not an executive or policy-making role. The Bookkeeper follows established AFC policies and procedures and supports the Executive Director, Treasurer, Board, instructors, students, and members. Principal Responsibilities 1. Bookkeeping & Financial Administration Record membership dues, tuition, donations, grants, event revenue, and other receipts. Record and properly categorize expenditures. Maintain the general ledger and supporting financial records. Manage accounts payable and accounts receivable. Reconcile bank and credit-card accounts. Process invoices and prepare payments in accordance with AFC authorization procedures. Maintain payroll information and coordinate with the payroll provider, as applicable. Maintain records of instructor compensation and payments. Track restricted donations and grants, when applicable. Prepare routine monthly financial reports for the Executive Director and Treasurer. Maintain financial records needed for tax filings, Form 990 preparation, financial reviews, and audits. 2. Class & Membership Administration Process class registrations, tuition payments, memberships, and renewals. Maintain accurate student, instructor, member, and donor records. Maintain membership and donor databases. Provide routine information regarding classes, memberships, and AFC activities. Assist with class scheduling and related administrative arrangements as directed by the Executive Director. 3. Office Management & Administrative Support Manage routine correspondence, telephone calls, email, mail, and office inquiries. Maintain organizational files, records, calendars, and administrative schedules. Monitor office supplies and equipment. Maintain contracts, insurance documents, licenses, and other administrative records. Provide logistical and administrative support for AFC programs and events. 4. Board & Organizational Support Provide financial and administrative information requested by the Executive Director, President, or Treasurer. Assist with preparation of materials for Board meetings. Maintain organizational records and documentation as assigned.
