Part Time Position - Bookkeeper 2026 Approx 6 hours a week + January $25 / hour Summary Description The Bookkeeper is responsible for the accurate and timely maintenance of the congregation's financial records and reports. It includes writing checks, monthly reconciliation, records to IRS and 1099 forms. The Bookkeeper works in cooperation with the Treasurer, Finance Committee, and Lead Pastor and is directly supervised by the Lead Pastor or designee. This is an hourly position with flexible scheduling and a regular in-person presence in the church office . Because important financial materials, including checks and other documents, are received at the church, the Bookkeeper must be available to perform those responsibilities on site. Other bookkeeping duties may be performed remotely when appropriate. Core Duties Handle the day-to-day bookkeeping functions of the congregation, including accounts payable, recording receipts and income, processing payments, and maintaining accurate financial records in QuickBooks Online. Receive, open, process, and appropriately record checks and other financial materials received at the church office. Process payroll accurately and on schedule through QuickBooks Online. Print and process checks and other financial documents requiring access to the church office. Reconcile accounts and maintain accurate and timely financial records. Support the Treasurer and Finance Committee by providing financial information and reports to committee chairs and the Mission Council. Prepare and distribute monthly budget reports to committees and other designated ministry leaders. Assist the Finance Committee and Treasurer with the congregation's annual budget process. Prepare financial and budget information for the congregation's annual meeting. Maintain organized financial records and files in accordance with church policies and applicable record-retention requirements. Work Conditions and Schedule This position requires a regular in-person presence at the St. Mark church office . Certain responsibilities, including receiving and processing checks and other financial materials, printing checks, handling documents, and maintaining physical financial records, must be performed on site. Some bookkeeping and administrative responsibilities may be performed remotely when the nature of the work allows. Work hours are flexible. The Bookkeeper and Lead Pastor or designee will establish a regular schedule that provides sufficient in-office presence to ensure that financial materials are processed promptly and that the needs of the congregation are met. Once a regular schedule is established, reasonable adjustments may be made in consultation with the Pastor or designee. Emergencies and unforeseen circumstances will be accommodated as appropriate. The Bookkeeper is expected to work the agreed-upon number of hours and to complete required financial tasks accurately and within established deadlines. This is an hourly, non-exempt position. Compensation will be established at the time of hire. Compensation is subject to applicable payroll taxes and will be reported on IRS Form W-2. Other Specific Duties The Bookkeeper will: Be trained in and comply with St. Mark's Child Protective Policy (CPP). Safeguard all keys, access codes, and other security information used in the church offices. Safeguard passwords, account information, and identifying information used to access or facilitate access to the church's online, banking, payroll, and financial accounts. Maintain strict confidentiality regarding contributions, payroll, personnel matters, and other sensitive financial or personal information. Follow established financial controls and procedures and work cooperatively with the Treasurer, Finance Committee, Pastor, and other authorized church leaders. Skills, Knowledge, and Experience The successful candidate should: Be proficient with computers and standard office equipment. Have experience with QuickBooks Online and Microsoft Office programs, particularly Excel and Word. Be dependable and able to maintain an agreed-upon work schedule while meeting recurring financial and payroll deadlines. Demonstrate integrity, discretion, and the ability to maintain strict confidentiality. Work effectively and respectfully with a variety of people, including staff members, volunteers, committee members, and congregational leaders. Be highly organized, accurate, and attentive to detail. Be able to establish and maintain logical electronic and physical filing systems with minimal supervision. Be able to work independently while communicating promptly when questions, discrepancies, or financial concerns arise. Performance Evaluations and Compensation Review The Bookkeeper's performance will be reviewed periodically. Normally, an annual review will be conducted in November by the Lead Pastor and Mission Council President or their authorized representatives. Any approved merit or compensation adjustment will normally become effective in January following the annual evaluation. During the first year of employment, an initial evaluation will be conducted after approximately 30 days, followed by evaluations at three-month intervals during the remainder of the first year.
